Searcy Denney Scarola Barnhart & Shipley, P.A. in West Palm Beach seeks a service-oriented Intake Coordinator who is empathetic, detail-oriented, and fluent in English and Spanish.

You will be the firm’s first point of contact for potential clients, handling calls, inquiries, and scheduling consultations. Responsibilities include intake paperwork, input into the case management system, accurate documentation, memos, and opening new cases promptly.

Qualifications

• High school diploma or GED required.
• One or more years in legal, medical, or insurance claims preferred.
• Bi-lingual in English and Spanish required.

Responsibilities

• Handle all incoming calls from potential clients, referral sources and firm teams regarding new cases.
• Contact potential clients via website, email and US mail.
• Meet with potential client walk-ins and follow up to schedule consultations.
• Prepare intake paperwork and input information into the case management system.
• Ensure accurate documentation in the case management system in a timely fashion.
• Accurately transcribe intake memos and open new cases quickly.
• Maintain contact between intake coordinators, paralegals and attorneys.
• Proofread documents and prepare correspondence.
• Conduct internet research as needed.
• Perform other duties as assigned.

The firm has represented clients in courtrooms throughout Florida and across the nation, for over 40 years.

The West Palm Beach office is seeking a service-oriented Intake Coordinator who is empathetic and detail-oriented, possesses excellent listening skills, and is proficient in both English and Spanish. As the first very point of contact for our potential clients, you are responsible for the first impression of our Firm.

• Handle all incoming phone calls from potential clients, referral sources and other teams in the firm involving new potential cases.
• Contact all potential incoming clients via the firm’s website, email and US mail.
• Meet with all potential client walk-ins.
• Follow up with potential clients to schedule appointments/consultations.
• Prepare the potential client’s intake paperwork and input the information in our case management system.
• Ensure that every potential client and referral sources is accurately documented in our case management system in a timely fashion.
• Accurately transcribe intake memos.
• Accurately open new cases in a timely fashion.
• Ensure the Intake Coordinators, Paralegals and Attorneys have established contact with the potential client.
• Proofread documents and prepare correspondence.
• Conduct internet research, as needed.
• Other duties as assigned.

Requirements

Education, Qualifications, and Certifications

High school diploma or GED required.

Experience

One or more years of experience in legal, medical or insurance claims field preferred.

Experience using Microsoft Office Suite (Word, Excel, etc.) required.

FileVine experience preferred.

Bi-lingual in English and Spanish required.
