Complete Orthopedic Services Inc. is seeking an Intake Coordinator to join our East Meadow, NY and Flushing, NY locations.

You will be the first point of contact for patients, ensuring a seamless and compassionate experience from day one in a fast-paced healthcare setting. The role requires 1–2 years in a medical office or orthopedic intake, familiarity with insurance verification, prior authorizations, EMR usage, and strong communication and organizational skills.

Qualifications

• 1–2 years of experience in a medical intake or similar healthcare role.
• Familiarity with insurance verification and prior authorizations.
• Strong knowledge of orthopedic terminology or related healthcare services is a plus.
• Proficiency with EMR systems and Microsoft Office Suite.
• Excellent communication, organizational, and multitasking skills.
• Compassionate, patient-focused demeanor with strong attention to detail.

Responsibilities

• Manage the patient intake process, including collecting demographics, insurance, and medical history.
• Verify insurance eligibility and obtain prior authorizations for orthopedic services and equipment.
• Coordinate with clinical staff, physicians, and referral sources for smooth onboarding.
• Maintain accurate patient records in the EMR/practice management system.
• Respond to patient and referral inquiries via phone, fax, and email promptly.
• Ensure HIPAA compliance and company policies throughout the intake process.
• Track and follow up on referrals, authorizations, and documentation requests.

Responsibilities:

• Verify insurance eligibility and obtain prior authorizations for orthopedic services and equipment
• Coordinate with clinical staff, physicians, and referral sources to ensure smooth patient onboarding
• Maintain accurate and up-to-date patient records in the EMR/practice management system
• Respond to patient and referral inquiries via phone, fax, and email in a timely manner
• Ensure compliance with HIPAA regulations and company policies throughout the intake process
• Track and follow up on pending referrals, authorizations, and documentation requests

Requirements:

• 1-2 years of experience in a medical office, orthopedic, or healthcare intake role preferred
• Familiarity with insurance verification, prior authorization, and medical billing processes
• Strong knowledge of orthopedic terminology, DME, or related healthcare services is a plus
• Proficiency with EMR systems and Microsoft Office Suite
• Excellent communication, organizational, and multitasking skills
• Compassionate, patient-focused demeanor with strong attention to detail
• High school diploma or equivalent required; associate's or bachelor's degree in healthcare administration preferred
