Job summary

Waterbury Heating and Cooling is seeking an Installation Coordinator to organize installation projects, coordinate installers and align with the sales team to meet customer schedules.

Responsibilities include coordinating with customers, dispatch, city inspections, invoicing oversight, and ensuring safety and quality standards across all installation activities. The role requires strong communication, multitasking, and proficiency with Microsoft Office; HVAC experience is a plus but not required.

Qualifications

• 3+ years of customer service or office experience.
• Experience leading a team or department is preferred.
• HVAC industry experience preferred but not required.
• Excellent verbal and written communication skills.
• Ability to work unsupervised.
• Good customer service skills.
• Ability to effectively present information and respond to questions from coworkers, clients, customers and the general public.
• Strong computer skills and proficiency with Microsoft Office Suite.

Responsibilities

• Communicate with customers to schedule new system installations.

• Coordinate and work with HVAC installers to ensure productive workdays.
• Monitor installers schedule and prep work when early with installations.
• Work directly with HVAC dispatch to provide assistance when available.
• Review and approve installation-related invoicing for payables.
• Schedule city inspections and order inspection permits.
• Assist with answering customer calls as needed.
• Meet with city inspectors.
• Lift, move and stage equipment in preparation for sold jobs.
• Responds to inbound calls, emails and requests for information.
• Maintain duct cleaning schedules.
• Prepare HVAC bids for Property Management companies.
• Promote safety, teamwork, and cooperation.
• Participate in meetings, workshops, training and seminars.
• Perform other related duties as assigned.

The Installation Coordinator processes sales orders, supervises and coordinates activities of workers engaged in installation, schedules workers to fulfill installation orders, and coordinates installation with customers.

PRIMARY RESPONSIBILITIES:

• Communicate with customers to schedule new system installations.
• Work with sales department to ensure customers projects are being done in timely manner and in proper order.
