Job summary

Diffusion Sales Company in Elmhurst, IL seeks an Inside Sales / Project Coordinator to manage bids, perform takeoffs, and prepare quotes for mechanical contractors and engineers. You’ll use our in-house tools to read drawings, track orders, and support sales with pipeline activity in a fast, accurate team environment.

Ideal candidates have 1–3+ years in HVAC or technical sales, strong Excel and MS 365 skills, and the ability to learn drawing interpretation.

Responsibilities

• Enter and track orders; keep contractors updated.
• Support outside sales with pipeline tracking and prospecting.
• Assist with warehouse orders and stocking.

Inside Sales / Project Coordinator – Diffusion Sales Company (Elmhurst, IL)

Diffusion Sales Company is an HVAC manufacturer's rep firm. We represent Metalaire, Acme, Pottorff and other commercial air distribution and ventilation lines to mechanical contractors and engineers across Chicagoland and Central Illinois. We're a small, growing team that values speed, accuracy, and relationships, and we use modern and AI-assisted tools to stay ahead.

What you'll do

• Manage incoming bid requests and keep track of deadlines.
• Perform takeoffs on mechanical drawings (air devices, VAVs, fans, dampers), helped by our in-house tools.
• Review specs and build customer quotes from manufacturer pricing.
• Prepare submittal packages and handle engineer comments.
• Enter and track orders, and keep contractors updated.
• Support outside sales with pipeline tracking and prospecting.
• Assist with warehouse orders and stocking.

What we're looking for

• 1–3+ years in HVAC, construction, or technical inside sales. Rep firm or distributor experience is a plus.
• You can read mechanical drawings, or you want to learn. We'll train the right person.
• Strong Excel and Microsoft 365 skills, and you're comfortable with technology.
• Organized, detail-oriented, and responsive.
