Job summary

CoolSys, Raleigh-based HVAC and refrigeration solutions provider, is seeking an Inside Sales & Marketing Coordinator to support the sales team with marketing, customer communications, quoting, and order processing. You will coordinate with accounting and ensure smooth operations to help meet revenue goals.

The role involves maintaining customer databases, preparing proposals, and generating sales reports. Ideal candidate has a Bachelor's, 1–3 years of experience, and familiarity with CRM tools

Qualifications

• Bachelor's degree in business, Marketing, or Communications field.
• 1–3 years in sales support, admin, or customer service; sales a plus.
• Familiarity with CRM software (Salesforce, HubSpot) and sales reporting tools.
• Strong organizational and time management skills with multiple tasks.
• Excellent written and verbal communication; team-oriented.

Responsibilities

• Provide administrative support to sales, including scheduling meetings and preparing presentations.
• Maintain and update customer databases with accuracy.
• Prepare technical quotes, proposals, and contracts for timely delivery.
• Coordinate order process from entry to delivery and meet expectations.
• Assist in handling customer inquiries and directing issues to the right rep.
• Ensure positive customer experience with timely responses and support.
• Generate regular sales reports, forecasts, and performance analysis.
• Assist in preparing presentations or reports for sales meetings.
• Liaise between sales and marketing, operations, and finance for communication.
• Help manage and prioritise sales team tasks.
• Process and track sales invoices and expenses.
