Position Summary

The Inside Sales Associate supports service growth by responding to customer needs, qualifying opportunities, preparing routine proposals and renewals, coordinating follow-up, and maintaining accurate customer and opportunity information. This position reports to the Service Customer Experience Team Manager.

Principal Duties and Responsibilities
  • Respond promptly to inbound customer calls, emails, website requests, referrals, and internal leads.
  • Qualify customer needs, sites, equipment, timing, decision process, budget indicators, and required technical support.
  • Prepare routine service, maintenance, repair, replacement, and agreement proposals using approved pricing and templates.
  • Coordinate site visits, technical reviews, estimates, proposal approvals, and follow-up with account managers and service leaders.
  • Maintain accurate contacts, activities, opportunities, proposals, status, next steps, and outcomes in CRM and service systems.
  • Follow up on open proposals, expiring agreements, dormant customers, and identified service opportunities.
  • Provide professional handoff of sold work to dispatch, service, projects, billing, and customer‑experience teams.
  • Track activity, conversion, response time, proposal aging, and customer feedback and recommend improvements.
  • Perform other duties as assigned.
Required Qualifications
  • At least 2 years of inside sales, customer service, account coordination, estimating support, or closely related experience.
  • Strong professional telephone, writing, listening, follow-up, organization, and customer-service skills.
  • Ability to learn commercial HVAC, plumbing, controls, maintenance, and service terminology.
  • Proficiency with Microsoft Office and CRM, estimating, field-service, or proposal software.
  • Ability to manage a high volume of time-sensitive opportunities and detailed records.
Preferred Qualifications
  • Commercial HVAC, plumbing, controls, facilities, construction, or technical-product experience.
  • Associate or bachelor’s degree in business, marketing, communications, or a related field.
  • Bilingual English/Spanish skills.

Working Conditions

Work is performed primarily in a professional office environment. The employee regularly uses a computer, telephone, and standard office equipment and may sit or stand for extended periods. The role requires frequent communication, close visual work, and occasional movement of office materials weighing up to 15 pounds.
