Responsibilities

  • Monitor shared administrative mailboxes and invoicing channels for incoming invoices and billing notices.
  • Retrieve and perform initial invoice review for accuracy and supporting documentation.
  • Route invoices to designated approvers as per approval requirements.
  • Maintain invoice tracking logs from receipt through payment completion.
  • Follow up with approvers, Finance, and stakeholders to prevent delays and resolve discrepancies.
  • Support front desk and daily office functions including telephone coverage, guest assistance, mail, courier, and deliveries.
  • Coordinate meeting logistics, trainings, and office events; assist with supplies and pantry.
  • Assist with onboarding/offboarding activities including workstation setup and asset tracking.

Job Purpose

Provide administrative, facilities, invoice coordination, and first-level desktop support for the Los Angeles office to ensure efficient daily operations, timely processing of business requests, and a responsive employee workplace experience.

Key Accountabilities
  • Invoice Administration • Ensure invoices are retrieved, reviewed, routed for approval, tracked, and followed through to payment completion accurately and on time.
  • Administrative & Office Support • Ensure administrative, front desk, supply, event, and office-service responsibilities are completed accurately, professionally, and in a timely manner.
  • Facilities Coordination • Coordinate building work orders, parking validation, access, maintenance requests, and related facilities activities through resolution.
  • Desktop Support • Provide first-level support for routine desktop and workplace technology issues and elevate more complex matters appropriately.
Responsibilities
  • Monitor shared administrative mailboxes and other established channels for incoming invoices and billing notices.
  • Retrieve and perform an initial review of invoices for accuracy, completeness, and supporting documentation.
  • Route invoices and payment requests to designated approvers in accordance with established approval requirements.
  • Maintain invoice tracking logs and monitor each item from receipt through approval and payment completion.
  • Follow up with approvers, Finance, and internal stakeholders to prevent delays and resolve discrepancies.
Administration & Office Services
  • Support front desk and daily office functions, including telephone coverage, guest assistance, mail, courier services, deliveries, and package distribution.
  • Monitor and respond to requests received through shared administrative mailboxes.
  • Maintain office and pantry supplies, monitor inventory levels, and coordinate approved replenishment.
  • Coordinate meeting logistics, employee lunches, training sessions, office events, and employee appreciation activities.
  • Provide general administrative support to management and staff and assist with operational projects as assigned.
Facilities Coordination
  • Serve as an administrative contact for building-related requests and coordinate work orders with the building management team.
  • Administer parking validation and related parking requests.
  • Coordinate guest, contractor, and service-provider access as required.
  • Escalate facilities issues to the appropriate internal owner or building management contact.
Desktop Support & Technology Operations
  • Provide first-level desktop support for routine workstation, peripheral, conference-room, and mobile-device.
  • Help resolve straightforward end-user support requests to reduce the primary desktop support resource’s workload.
  • Assist with employee onboarding and offboarding activities, including workstation setup, equipment deployment, collection, and basic asset tracking.
  • Document troubleshooting performed and elevate complex or unresolved issues to Technology staff or designated support providers.
  • Support technology initiatives and cross-training activities as assigned.
Qualifications
  • Minimum 3 years of experience in administration, office operations, facilities coordination, desktop support, help desk support, or a related operational role.

Required Skills
  • High school diploma or equivalent required.
  • Bachelor degree in Business Administration, Operations, Information Technology, or a related field preferred.
  • Strong proficiency in Microsoft Outlook, Word, Excel, and Teams.
  • Working knowledge of Windows-based desktop environments, mobile devices, conferencing technology, and common office peripherals.
  • Strong written and verbal communication, organization, follow-through, attention to detail, and customer-service skills.
Preferred Skills
