Position Summary
The IT Asset Manager (ITAM) is responsible for managing Unifi’s technology assets across the full lifecycle, including procurement, deployment, assignment, support, recovery, auditing, reporting, and disposal. This role will support asset operations across hardware, software, accessories, mobile devices, SaaS subscriptions, and user lifecycle workflows, with a strong focus on Oomnitza as the central IT asset management and workflow orchestration platform. The position will help maintain accurate asset, ownership, status, location, license, and compliance data across enterprise systems while supporting cost control, audit readiness, process automation, and operational consistency.
Key Responsibilities
- Manage the full lifecycle of IT assets, including laptops, desktops, tablets, mobile devices, peripherals, accessories, software, SaaS subscriptions, and non-serialized consumables.
- Maintain and support Oomnitza as a key system of record and workflow platform for asset lifecycle activities, including hardware asset management, software asset management, onboarding, offboarding, assignment, return, reclamation, and disposal.
- Coordinate asset procurement, receipt, deployment, transfers, upgrades, refreshes, warranty activities, returns, and retirement.
- Ensure assets are properly recorded, tagged, assigned, tracked, and reconciled within the IT Asset Management system and related enterprise platforms.
- Maintain accurate inventory records, asset ownership, lifecycle status, location, cost center, and assignment data.
- Reconcile asset and user data across Oomnitza, ServiceNow CMDB/ITSM, Microsoft Intune, Entra ID/Azure AD, Microsoft 365, UKG Pro/Kronos, procurement records, and vendor data sources.
- Conduct recurring audits and data quality checks to identify orphaned assets, missing assignments, overdue returns, status mismatches, duplicate records, and inventory discrepancies.
- Track software licenses, SaaS subscriptions, renewals, allocations, reclamation opportunities, and maintenance agreements.
- Support software asset management processes for platforms such as Microsoft 365, Azure, Adobe, DocuSign, Smartsheet, OutSystems, NetSuite, UKG Pro/Kronos, and other enterprise applications as applicable.
- Support software audits and maintain documentation for compliance, renewal planning, cost optimization, and license utilization reporting.
- Assist with license provisioning and deprovisioning workflows tied to onboarding, offboarding, department changes, approvals, and access reviews.
- Partner with procurement, finance, IT support, security, HR, and business stakeholders to support technology acquisitions and asset lifecycle alignment.
- Coordinate with vendors and partners such as CDW, SHI, Insight, wireless providers, service providers, software vendors, and implementation teams regarding asset purchases, integrations, returns, repairs, renewals, and support tickets.
- Maintain records of warranties, support contracts, service agreements, purchase history, and renewal information.
- Assist with vendor performance tracking, contract management, invoice validation, and cost attribution.
- Coordinate secure asset disposal, recovery, data destruction, legal hold, reuse, and retirement processes.
- Maintain documentation, audit trails, lifecycle history, and evidence needed to support ISO 27001, internal audit, compliance, and regulatory readiness requirements.
- Develop and maintain SOPs, workflow documentation, training materials, dashboards, exception reports, and process improvement recommendations for IT, Finance, Procurement, Security, Compliance, and leadership stakeholders.
- Support onboarding and offboarding activities by ensuring timely equipment deployment, assignment, user validation, license provisioning, device recovery, access removal support, and asset record updates.
- Coordinate asset retrieval for offboarding employees, including identifying assigned equipment, initiating recovery steps, tracking return status, escalating overdue assets, validating received devices, and updating asset, service management, and endpoint records.
- Manage mobile device lifecycle activities, including carrier and wireless provider coordination, SIM/eSIM support, MDM enrollment, device wipe/lock actions, reassignment, and inventory record updates.
- Monitor automated workflows and investigate lifecycle exceptions, including termination-triggered workflows, missing HR updates, ServiceNow ticket updates, and device ownership/status mismatches.
- Collaborate with IT support teams to ensure available devices are visible, assignable, and accurately reflected across Oomnitza, ServiceNow, and Microsoft endpoint systems.
Systems and Platforms Experience
- Relevant experience with ITAM/SAM platforms such as Oomnitza, ServiceNow HAM/SAM Pro, Flexera, Samsung Knox, & Apple Business Manager including workflow automation, data reconciliation, dashboards, and reporting.
- ServiceNow ITSM/CMDB, ticket-based asset workflows, asset status updates, and help desk assignment processes.
- Microsoft tools including Intune, Entra ID/Azure AD, Microsoft 365, Azure, device inventory, endpoint ownership, SSO, and group/license-based provisioning concepts.
- HR, procurement, and vendor systems or processes such as UKG Pro/Kronos, CDW/Mobility procurement data, onboarding/offboarding feeds, purchase records, and employee lifecycle data.
- SaaS and enterprise application license management experience with platforms such as Adobe, DocuSign, Smartsheet, OutSystems, NetSuite, Zoom, AWS, and similar business applications.
Qualifications
- Bachelor's degree in Information Technology, Business Administration, Supply Chain Management, Finance, Data Analytics, or a related field preferred; equivalent experience will be considered.
- 2-5 years of experience in IT Asset Management, IT Operations, Service Management, Endpoint Management, Procurement Operations, Software Asset Management, or related technology support roles.
- Experience managing hardware, software, SaaS, mobile device, accessory, and consumable inventories in a corporate or enterprise environment.
- Hands-on experience with an ITAM or ITSM platform required; Oomnitza experience strongly preferred.
- Strong understanding of IT Asset Management lifecycle processes, ITAM/SAM best practices, asset assignment models, inventory controls, and data stewardship.
- Knowledge of software licensing, SaaS subscription management, usage optimization, reclamation, renewals, and compliance requirements.
- Experience with IT Service Management and asset management platforms, including workflow configuration, ticketing integration, reporting, and process documentation.
- Working knowledge of Microsoft Intune, Entra ID/Azure AD, Microsoft 365, ServiceNow, HR data feeds, procurement data, and integration-driven asset reconciliation preferred.
- Ability to troubleshoot workflow exceptions, compare data across systems, identify root causes, and recommend process or data-quality improvements.
- Strong analytical and organizational skills with exceptional attention to detail.
- Ability to analyze data, prepare reports, maintain accurate records, and present actionable insights to technical and non-technical stakeholders.
