Responsibilities

  • Maintain accurate inventory of assets incl. hardware, software licenses, and digital assets.
  • Track asset status, location, and condition using tracking tools.
  • Document acquisitions, disposals, transfers, and maintenance activities.
  • Coordinate asset disposal and retirement with compliance procedures.
  • Schedule and track maintenance for physical assets with maintenance teams.
  • Conduct regular asset audits to verify records.
  • Enter asset information into management systems and update records as needed.
  • Generate reports on asset performance, utilization, costs, and compliance.
  • Assist with security controls for digital assets and data protection.
  • Ensure compliance with laws, regulations, and industry standards.
  • Maintain organized documentation for asset management processes and policies.
  • Tag assets with unique identifiers to aid tracking.
  • Support audits by providing required asset information.
  • Source and procure replacement assets and peripherals for repairs and deployments.
  • Coordinate shipment and return of defective equipment to vendors.

Position Summary

The Asset Management Coordinator plays a crucial role in overseeing an organization's assets throughout their lifecycle. They support the Workspace Manager and Client by handling various administrative tasks related to asset management.

Responsibilities
  • 1. Asset Inventory Maintenance: Assist in maintaining an accurate and up-to-date inventory of all organization assets, including physical equipment, software licenses, and digital assets.
  • 2. Asset Tracking: Use asset tracking tools and software to monitor the status, location, and condition of assets. Ensure that asset records are accurate and complete.
  • 3. Documentation and Record-Keeping: Maintain detailed records of asset acquisitions, disposals, transfers, and maintenance activities. Keep organized records of asset documentation, such as purchase orders and invoices.
  • 4. Asset Disposal and Retirement: Coordinate the disposal and retirement of assets that are no longer needed or have reached the end of their useful life. Ensure that proper disposal procedures are followed, including compliance with regulations.
  • 5. Maintenance Coordination: Collaborate with maintenance teams to schedule and track maintenance and repair activities for physical assets. Ensure that assets are well-maintained to extend their lifespan.
  • 6. Asset Audits: Conduct regular asset audits to verify the accuracy of asset records and identify discrepancies or missing assets.
  • 7. Data Entry: Enter asset information into asset management systems accurately and efficiently. Update asset records as needed to reflect changes in status, location, or ownership.
  • 8. Reporting: Generate reports on asset performance, utilization, costs, and compliance for review by management. Provide insights and recommendations based on data analysis.
  • 9. Security and Access Control: Assist in implementing access controls and security measures for digital assets to protect sensitive data and intellectual property.
  • 10. Compliance: Ensure that asset management practices comply with relevant laws, regulations, and industry standards, including environmental and safety regulations.
  • 11. Documentation Management: Maintain organized and accessible documentation related to asset management processes, procedures, and policies.
  • 12. Asset Tagging: Label and tag physical assets with unique identifiers to aid in tracking and identification.
  • 13. Assist with Audits: Support internal and external audits of assets by providing required documentation and information.
  • 14. Source and procure replacement technology assets, components, and peripherals required for device repairs, refreshes, and deployments.
  • 15. Coordinate the shipment, tracking, and return of defective equipment to vendors, manufacturers, and repair facilities, ensuring timely resolution and accurate documentation.
  • 16. Manage repair lifecycle activities, including warranty verification, repair status tracking, asset inventory updates, and redeployment of repaired devices.
  • 17. Collaborate with vendors, internal teams, and logistics partners to ensure efficient fulfillment, repair turnaround, and device availability.
  • 18. Perform other duties and special projects assigned to support departmental and organizational objectives.
Qualifications
  • Strong organizational skills, attention to detail, proficiency in asset management software, and effective communication with various stakeholders are essential for success in this role.
  • Associates or Bachelor's degree in Information Technology, Business Administration, Supply Chain Management, or related field is preferred but not required.
  • Experience using asset management, inventory, or IT service management (ITSM) platforms if preferred but not required.
  • Experience supporting hardware lifecycle management in an IT environment is preferred but not required.
Physical Requirements
