About The Role

Clark Hill PLC is seeking an individual for the role of Information Governance Administrator for its Pittsburgh office. The Information Governance Administrator supports the firm’s Information Governance function by helping manage the day-to-day operational, administrative, and reporting responsibilities associated with firm and client records, legal holds, lateral onboarding and departures, matter lifecycle support, and related information governance processes. This role requires careful handling of confidential client and firm information, strong attention to detail, sound judgment, and a service-oriented approach to working with attorneys, legal assistants, Information Technology, Business Intake and Conflicts, Human Resources, Accounting, and the Office of General Counsel. This is a hybrid position, requiring the Information Governance Administrator to be in the office at least three days per week.

Required Skills And Experience
  • A minimum of one (1) year of administrative, records management, legal support, compliance, operations, data management, or professional services experience preferred.
  • Bachelor’s degree, associate degree, paralegal certificate, records management training, information governance coursework, or equivalent work experience preferred.
  • Assisting with the administration of the firm’s records and information governance processes, including maintenance of forms, trackers, checklists, reports, and workflow documentation.
  • Generating, updating, and maintaiingn reports, spreadsheets, and dashboards used to monitor information governance activity, records status, legal hold compliance, lateral movement, offsite storage, and related operational metrics.
  • Supporting data quality initiatives by reviewing, organizing, reconciling, and updating records and matter-related information in firm systems.
  • Helping to document procedures, identify process gaps, and support practical improvements to recurring information governance workflows .
  • Assisting with the administrative aspects of legal holds involving firm matters, including preparation of draft notices, maintenance of hold lists, tracking acknowledgments, sending reminders, and maintaining related status reports.
  • Coordinating with Information Technology, attorneys, and the Office of General Counsel to help identify relevant custodians, information sources, and preservation steps.
  • Maintaining organized records of legal hold communications, acknowledgments, releases, and related documentation.
  • Assisting with routine information governance tasks associated with incoming and departing attorneys and other professionals, including checklist management, status tracking, document organization, and coordination with other departments.
  • Supporting file transfer, records review, matter transition, and preservation processes consistent with firm policies and direction from Information Governance leadership and the Office of General Counsel.

  • Strong attention to detail, analytical thinking, communication skills, prioritization skills, and the ability to manage sensitive information with discretion; and
  • Interest in process improvement, data accuracy, records management, and risk management.
Qualifications
  • Strong proficiency with Microsoft Office/Microsoft 365, particularly Excel, Word, Outlook, and Teams.
  • Experience with document management, records management, workflow, billing, or business intake systems such as iManage, Elite/3E, Intapp, or similar platforms preferred.
  • Ability to manage confidential and sensitive information with discretion and professionalism.
  • Must have sound judgment and business acumen when interacting with internal and external clients.
Pay Range And Compensation Package

The salary range at the time of posting is $20.00 - $26.00 hourly/$41,600-$54,000annually, based upon a full-time work schedule. Actual compensation will be influenced by various factors, including but not limited to employee qualifications, relevant experience, skill sets, training, internal equity, and market data. This position is eligible for an annual discretionary bonus. In addition, Clark Hill offers employees the ability to participate in health insurance with optional HSA/FSA, short term disability, long term disability, dental insurance, vision care, life insurance, 401K, vacation, sick time, parking/public transportation allowance, and an employee assistance program.
