MGA Entertainment in Los Angeles is seeking an organized Inbound Licensing Coordinator to manage the submission and approval process for licensed items across the business.

Sitting within the Inbound Licensing team, this role coordinates between Sales, Brand Marketing, Creative, external licensing partners and other key stakeholders to ensure submissions are complete and approvals progress efficiently to support launches.

Responsibilities

  • Coordinate submission, tracking and approval of licensed products, packaging, marketing materials, sales assets, digital content and other licensor-approved items.
  • Liaise with Sales, Brand Marketing, Creative and other stakeholders to gather requirements and set submission timelines.
  • Prepare and submit approval requests through licensor portals and other channels, ensuring accuracy and completeness.
  • Coordinate with the Senior Director of Creative, Inbound Licensing to manage creative reviews and revisions.
  • Serve as day-to-day contact for approval communications between internal teams and licensing partners.
  • Track licensor feedback, clarify changes and drive revisions to final approval.
  • Maintain a central approvals tracker with status, deadlines and delays.
  • Identify approval issues impacting launches and escalate as needed.
  • Keep records of submissions, feedback and final sign-offs with version control.
  • Communicate usage conditions and sign-offs before production or publication.
  • Help improve submission processes and templates to reduce rework.

Position Overview

MGA Entertainment is seeking an organized, proactive Inbound Licensing Coordinator to manage the submission and approval process for licensed items across the business. Sitting within the Inbound Licensing team, this role will serve as a central point of coordination between Sales, Brand Marketing, Creative, external licensing partners and other key stakeholders. Working collaboratively with the Senior Director of Creative, Inbound Licensing, the Inbound Licensing Coordinator will ensure submissions are complete, feedback is communicated clearly and approvals progress efficiently to support product launches, marketing campaigns and commercial deadlines.

This role requires an understanding of both licensing and marketing, strong attention to detail and the ability to manage multiple projects and stakeholder relationships.

Key Responsibilities
  • Coordinate the submission, tracking and approval of licensed products, packaging, marketing materials, sales assets, digital content and other items requiring licensor approval.
  • Liaise with Sales, Brand Marketing, Creative and other internal stakeholders together assets, confirm requirements and establish submission timelines.
  • Prepare and submit approval requests through licensor portals and other agreed channels, ensuring each submission is accurate, complete and aligned with relevant guidelines.
  • Work closely with the Senior Director of Creative, Inbound Licensing, to coordinate creative reviews, clarify feedback and support revisions.
  • Act as the day-to-day contact for approval-related communication between internal teams and licensing partners.
  • Traffic licensor feedback to the appropriate stakeholders, clarify required changes and follow up on revisions and resubmissions through to final approval.
  • Maintain a central approvals tracker, providing clear visibility of submission status, outstanding actions, deadlines and potential delays.
  • Proactively identify and elevate approval issues or conflicting feedback that could affect launch dates, production schedules or campaign delivery.
  • Maintain accurate records of submissions, feedback, approved assets and final sign-offs, with clear version control.
  • Communicate approval status and usage conditions so teams have the necessary sign-offs before production, publication or distribution.
  • Help improve submission processes, briefing templates and communication practices to reduce rework and support timely approvals.
Required Skills and Experience
  • A sound understanding of licensing and marketing, including licensor approval processes, brand guidelines and the development of marketing assets.
  • Previous experience in marketing coordination, licensing, creative operations, project coordination or a similar role.
  • Excellent organizational skills, with the ability to manage multiple submissions, competing priorities and deadlines.
  • Strong written and verbal communication skills and confidence working with internal stakeholders and external partners.
  • High attention to detail when reviewing assets, consolidating feedback and maintaining approval records.
  • A proactive, collaborative approach, with the confidence to follow up on outstanding actions and elevate issues appropriately.
  • Proficiency in Microsoft Office and project tracking tools; experience with licensor approval platforms is advantageous.
  • Experience in toys, entertainment, consumer products or licensed brands is preferred.
