Job summary

KIPP Chicago seeks an experienced Office Manager to run the school’s main office, coordinate student enrollment and attendance, and support teachers and leadership. This full-time, in-person role requires strong customer service, organization, and communication skills to create a welcoming, efficient environment for students, families, staff, and guests.

The Office Manager reports to the School Operations Leader/Director of Operations.

Qualifications

  • Two years of college; BA preferred.
  • Two years administrative experience; school setting preferred.
  • Excellent oral and written communication skills.
  • Bilingual Spanish/English for the bilingual OM role.
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office and Google Drive.
  • Ability to stand/walk and lift up to 20 lbs as needed.
  • Background check clearance before start and during term.

Responsibilities

  • Coordinate new student enrollment, including tours and online enrollment.
  • Monitor daily attendance and communicate absences to staff.
  • Maintain a neat, welcoming office environment and visitor logs.
  • Answer phones and relay messages to staff promptly.
  • Assist with arrival/dismissal and office operations.
  • Maintain teacher work room and inventory; manage supply requests.
  • Process mail and shipments; assist with events and memos.
  • Maintain student records and health coordination with site nurse.

Job Description

KIPP Chicago seeks an experienced individual for the position of Office Manager (OM). The OM will be the face of the school and deliver first-class customer service to all constituents in the building, including students, parents, staff, and guests. The OM’s primary responsibilities are to operate a welcoming and efficient main office, to coordinate student enrollment and attendance, and to provide daily support to teachers and the school’s leadership team. This is a full-time, in-person position (50 hours a week). The OM will report to the School Operations Leader/Director of Operations. Regular and dependable on-site attendance is essential to fulfilling the responsibilities of this role.

DUTIES & RESPONSIBILITIES
  • Coordinate new student enrollment: canvas and recruit students, process incoming applications, send acceptance/waitlist letters, manage waitlist, provide tours, and assist parents with online enrollment
  • Oversee student attendance: make daily attendance phone calls to absent students, process late arrivals, communicate with teachers and school leadership re: student absences, call families of absent students, ensure attendance is accurately logged in PowerSchool and Aspen student information systems each day, and process early dismissals
  • Create a neat, welcoming, and organized office environment
  • Welcome parents and visitors, maintain visitor logs, and respond to visitor & parent requests
  • Ensure all visitors are accounted for in the building
  • Answer phones, redirect inquiries as appropriate, and relay messages to staff in a timely manner
  • Active role in arrival and dismissal
  • Maintain teacher work room and ensure that copiers/printers are in working order
  • Maintain school supply closet and assist with inventory control
  • Process and fulfill staff supply requests
  • Receive, distribute, and prepare incoming/outgoing mail and shipments
  • Assist with coordination of school events
  • Assist with production and distribution of memos & newsletters
  • Maintain complete sets of all parent and staff forms
  • Maintain student cumulative records (files) including auditing student files at least 2xs a year
  • Order and distribute school uniforms and assist with inventory control
  • Coordinate student health services: monitor student health and safety for any unusual/troubling trends, coordinate with site nurse to ensure that students receive appropriate care
  • Other duties identified by the School Operations Leader/Director of Operations

QUALIFICATIONS
  • At least two years of college, BA preferred
  • A minimum of two years administrative experience (experience in a school setting preferred)
  • Excellent oral and written communication skills
  • (For Bilingual OM Role) Oral and written fluency in Spanish, as well as English
  • Excellent organizational skills and detail orientation
  • Strong typing and technology skills, specifically with Microsoft Office and Google Drive
  • Evidence of strong interpersonal skills
  • Evidence of personal initiative and follow through
  • Frequently standing or walking and using stairs to move throughout school building; ability to lift / carry up to 20 lbs when necessary to support school procurement.
  • Demonstrated passion for and commitment to the KIPP mission
  • A cleared CPS Background check before start of employment and within employment term (required)
