Job summary

KIPP Chicago seeks an Office Manager for the school-based site to run a welcoming and efficient main office, handle enrollment and attendance, and support teachers and leadership daily. This is a full-time, on-site role (50 hours/week).

The role reports to the School Operations Leader/Director of Operations. Strong administrative experience, Spanish-English fluency, and excellent organizational skills are required.

Qualifications

• At least two years of college, BA preferred.
• A minimum of two years administrative experience (experience in a school setting preferred).
• Excellent oral and written communication skills.
• Oral and written fluency in Spanish, as well as English.
• Excellent organizational skills and detail orientation.
• Strong typing and technology skills, specifically with Microsoft Office and Google Drive.
• Evidence of strong interpersonal skills.
• Evidence of personal initiative and follow through.
• Frequent standing or walking and using stairs to move throughout school building; ability to lift / carry up to 20 lbs when necessary to support school procurement.
• Demonstrated passion for and commitment to the KIPP mission.
• A cleared CPS Background check before start of employment and within employment term (required).

Responsibilities

• Coordinate new student enrollment: canvas and recruit students, process incoming applications, send acceptance/waitlist letters, manage waitlist, provide tours, and assist parents with online enrollment.
• Oversee student attendance: make daily attendance phone calls to absent students, process late arrivals, communicate with teachers and school leadership re: student absences, call families of absent students, ensure attendance is accurately logged in PowerSchool and Aspen student information systems each day, and process early dismissals.
• Create a neat, welcoming, and organized office environment.
• Welcome parents and visitors, maintain visitor logs, and respond to visitor & parent requests.
• Ensure all visitors are accounted for in the building.
• Answer phones, redirect inquiries as appropriate, and relay messages to staff in a timely manner.
• Active role in arrival and dismissal.
• Maintain teacher work room and ensure that copiers/printers are in working order.
• Maintain school supply closet and assist with inventory control.
• Process and fulfill staff supply requests
• Receive, distribute, and prepare incoming/outgoing mail and shipments
• Assist with coordination of school events
• Assist with production and distribution of memos & newsletters
• Maintain complete sets of all parent and staff forms
• Maintain student cumulative records (files) including auditing student files at least 2xs a year
• Order and distribute school uniforms and assist with inventory control
• Coordinate student health services: monitor student health and safety for any unusual/troubling trends, coordinate with site nurse to ensure that students receive appropriate care
• Other duties identified by the School Operations Leader/Director of Operations

Job Description

KIPP Chicago seeks an experienced individual for the position of Office Manager (OM). The OM will be the face of the school and deliver first-class customer service to all constituents in the building, including students, parents, staff, and guests. The OM’s primary responsibilities are to operate a welcoming and efficient main office, to coordinate student enrollment and attendance, and to provide daily support to teachers and the school’s leadership team. This is a full-time, in-person position (50 hours a week). The OM will report to the School Operations Leader/Director of Operations. Regular and dependable on-site attendance is essential to fulfilling the responsibilities of this role.
