The IEP Clerk will act as member of the School Operations Team and is responsible for the execution of a robust plan to ensure compliance of the Special Education Program.ResponsibilitiesEssential FunctionsCoordinate and schedule IEP meetings in conjunction with designated Special Education administrator (schedule with parents, teachers & service providers, coordinate class coverage as necessary, coordinate logistics regarding location & required attendees, sending materials home).If applicable, provide Spanish interpretation during IEP meetings (must attend LAUSD Oral Interpretation training)Maintains accurate special education records in PowerSchoolProvide administrators with the parent brochures and sign-in sheet needed during an IEP meetingAssist in sending requested records to district schools, agencies, or other clerical staffAssist special education teachers and administrators with the monitoring of the IEP Master Calendar and maintaining the special education paperwork, meetings, and filingCreate, send, collect, and file IEP Meeting Notification forms according to IEP Master CalendarCreate, send, collect, email, and file Assessment Plans according to IEP Master CalendarAdd IEP meeting participants and IEP meeting date on the Welligent systemInform HSO Central Special Education of any new student enrollments with an IEPFile and organize all IEP documents within the green folder of each student’s cumulative record fileHelp coordinate communication between related service providers, teachers, and administrators regarding service schedulesEnsure all special education related bulletins/posters/brochures are posted in the main officeParticipate in LAUSD and/or HSO trainings related to special education compliance, policies, and proceduresAttend staff meetings and participate in professional development supporting school food service programsUpon receipt of a written or verbal request for special education by a parent or outside agency/organization or medical documents from a student with an IEP immediately inform Administrators.Assist with developing special education program by reporting any IEP and/or special education compliance concerns to administrationSupport with student information-specific data requests relating to compliance and reporting requirements for CNCA (internal stakeholders, grant reports, research requests, etc).Supervise students in and around the vicinity of the front officeMaintain a high level of ethical behavior and confidentiality of information about students and staffSupport school with translation services as requestedSupport school office staff as back up clerical support during peak hours as requestedPerform other related duties as assigned for the purpose of meeting the needs of the students, the program, the school site, and the organizationSupport school office staff as office/clerical support during peak hours as requested or scheduledOther duties as assigned.Bachelor Degree preferred2-4 years’ experience working in urban schools or in organizational operationsManage and manipulate large amounts of data in Excel and databasesStrong analytical and quantitative abilitiesAbility to work independently and in a team in a fast-paced environment requiredSpanish and English fluency preferredHighly organized, detail-oriented and able to produce error-free workAbility to synthesize data and desire to analyze and improve systems. Our data systems include: PowerSchool, SpendBridge, DataDirector, Illuminate, Welligent, Excel and mail merge.Ability to understand and navigate the political, social, economic, legal and cultural context facing urban charter schools and the students they serve
