Job summary

Westbrook Health Services, Inc. is seeking a Department Support Specialist to provide administrative, operational, billing, and program support to the Intellectual and Developmental Disabilities (IDD) Division.

This role will assist with day-to-day Division functions, including coordinating billing documentation, purchasing, transportation, vehicle maintenance, client records, grants, and incident tracking, along with front desk coverage.

Qualifications

• Education: High school diploma or GED required; additional education in business, healthcare, human services or related field preferred.
• Experience: Administrative, clerical, healthcare, billing, or human services experience preferred.
• Knowledge, skills, and abilities: Strong organizational and time-management skills; ability to learn EHR and financial systems; proficient communication and collaboration.

Responsibilities

• Prepare and process billing and related documentation.
• Provide front desk coverage and assist clients, visitors, staff, and others professionally.
• Process Division receipts and reimbursable expenses.
• Coordinate and process purchasing and supplier documentation.
• Maintain supplies and office materials for the Division.
• Upload documents to the EHR and maintain accurate client records.
• Coordinate and schedule client transportation and vehicle maintenance.
• Assist with Family Support Grant administration and program coordination.
• Maintain confidentiality and comply with laws and Westbrook policies.
