Job summary

Bubble Skincare seeks a highly organized Coordinator to support retail operations in New York, coordinating order fulfillment, internal transfers, and the gratis program. You will work with the Retail Operations & Supply Chain Manager to ensure smooth shipments and proactive problem solving in a fast-paced environment.

Responsibilities include managing PO-to-delivery for outbound orders, monitoring schedules, and collaborating with 3PLs.

Qualifications

• Bachelor's degree preferred for operation coordination roles.
• Experience in retail operations, supply chain, or logistics is ideal.
• Strong attention to detail and organizational skills required.
• Excellent written and verbal communication across partners.

Responsibilities

• Coordinate outbound wholesale orders from PO to delivery.
• Monitor retailer POs, shipping schedules, and fulfillment timelines.
• Partner with 3PL providers to prioritize shipments and resolve issues.
• Communicate shipment status, routing, delivery appointments and exceptions.
• Monitor retailer compliance and minimize chargebacks through accurate execution.
• Create and manage internal inventory transfers and work orders.
• Ensure inventory positioning to support retailer demand.
• Support improvements to operational workflows and fulfillment processes.
• Manage day-to-day gratis program operations.
• Coordinate order approval, processing, and shipment of gratis requests.
• Use business systems to process orders, inventory, and ops.
• Assist with ERP (NetSuite), EDI, retailer portals, and TMS as needed.
• Troubleshoot order exceptions, EDI issues, and operational discrepancies.
