Job summary

gpac is recruiting for an established San Diego law firm seeking an experienced Legal Billing Specialist to join a collaborative, hybrid team. The ideal candidate will manage end-to-end client invoicing, ensuring accuracy, compliance, and timely collections in a fast-paced environment.

Key duties include reviewing invoices, handling write-downs and split billing, and coordinating with attorneys and clients using Aderant, ProLaw, or Elite 3E.

Qualifications

• 5+ years of legal billing experience in a law firm environment.
• Strong attention to detail and organizational skills.
• Experience with Aderant, ProLaw, Elite 3E, or similar billing software.
• Excellent communication and interpersonal skills.
• Ability to manage multiple deadlines and work independently.
• Discretion when handling confidential financial and client information.
• iManage and SQL experience preferred.

Responsibilities

• Prepare, review, and finalize client invoices based on firm and client billing guidelines.
• Handle write-downs, rate corrections, trust applications, and split billing.
• Submit invoices through eBilling platforms and resolve rejections or adjustments.
• Monitor attorney time and expenses for accuracy and compliance.
• Assist with collections and follow up on outstanding accounts.
• Manage eBilling setups, client onboarding, rate approvals, and matter setup in Aderant.
• Process LEDES files and ensure billing documents are accurate and professional.
• Work with attorneys, staff, and clients to resolve billing discrepancies and invoice issues.
• Maintain billing records and prepare monthly reports on AR, trusts, time, costs, and matter status.
