Job summary

Skadden, Arps, Slate, Meagher & Flom LLP is seeking a Client Operations Project Manager to join our Palo Alto office on a hybrid basis. This role acts as a strategic partner to assigned partners, practice areas, their clients, and the firm’s client accounting teams.

You will drive client/matter lifecycle processes including onboarding, billing, e-billing, pricing, and collections, while ensuring compliance and operational efficiency to support client service and firm financial performance.

Qualifications

• Bachelor's degree required; advanced degree or relevant certifications preferred.
• Minimum of five (5) years of law firm or professional services experience in client administration, billing, or related functions.
• Proficiency in firm software such as Outlook, Excel, Aderant Expert, and iManage.
• Strong analytical, organizational and project management skills.
• Excellent interpersonal, written and verbal communication abilities.

Responsibilities

• Serve as the primary point of contact for partners, practice areas, their clients, and internal teams.
• Condense complex information into clear summaries and reports to support decision-making.
• Prepare and deliver updates on client onboarding, billing, collections, and financial performance.
• Guide partners and teams on client accounting processes, policies, and best practices.
• Follow up with clients and teams to move matters forward and ensure timely completion.
• Collaborate with clients and accounting teams to resolve invoice issues and ensure timely payments.
• Facilitate e-billing submissions and address bill rejections or deductions with billing staff.
• Coordinate with Rates team on timekeeper submissions and resolve discrepancies.
• Review and edit invoices for accuracy and compliance; manage write-offs as needed.
• Track accruals against budgets and AFAs to identify variances and profitability trends.
• Coordinate engagement letters and onboarding with relevant departments.
