Qualifications

• Experience with building automation systems and related project workflows.
• Proven project coordination or project administration experience in a technical or construction-related environment.
• Hands-on experience with bid tracking and managing RFQs for automation projects.
• Ability to coordinate effectively with estimating, engineering, and operations teams to obtain and consolidate proposal inputs.
• Strong administrative support skills, including data entry, documentation, and record keeping.

Responsibilities

• Coordinate building automation projects, supporting the full lifecycle from RFQ through proposal and booking.
• Track bids and RFQs for automation projects, maintaining organized records and ensuring timely follow-up and updates.
• Collaborate with estimating, engineering, and operations to gather inputs for accurate proposals.
• Support sales and operations with documentation and project coordination.
• Generate weekly and monthly reports summarizing project status and bid activity.
• Monitor data quality in project and bid tracking systems and correct errors.
• Assist in the booking process by preparing and reviewing documentation and data entry.
• Provide general administrative support including data entry and record maintenance.
• Schedule meetings and coordinate calendars for internal stakeholders.
• Handle document requests ensuring timely delivery and proper organization of files.
