Job summary

Stanford University’s Department of Surgery, Division of Abdominal Transplantation, seeks an experienced Administrative Operations Supervisor to provide high-level administrative support to the Chief in a hybrid academic-clinical setting. The role requires independent prioritization and management of a complex workload.

The AOS will oversee planning and execution of events, meetings and projects with internal and external partners, ensuring timely execution and professional communications.

Qualifications

• Excellent written and verbal communication skills; ability to write clearly.
• Supervisory experience.
• Ability to independently compose/draft correspondence on behalf of the division leadership.
• Demonstrates the ability to work well with Stanford colleagues and clients and with external organizations.
• Prior work experience at Stanford University and/or similar academic medical center preferred.
• Healthcare or natural science background.
• College degree preferred.

Responsibilities

• Oversee planning and execution of recurring events and meetings with internal and external stakeholders.
• Coordinate special projects, events, meetings, seminars and other activities with internal or external parties.
• Provide logistical support for event planning, catering orders, and venue reservations.
• Maintain a system to stay on top of Chief’s clinical, leadership and teaching meetings and events.
• Independently compose, proofread and edit memos, letters and presentations in support of Division Chief activities.
• Oversee other administrative staff.
