Job summary

New England Life Care, Inc. is hiring an Accounts Payable Specialist II in Scarborough, ME. This hybrid, Monday–Friday position runs 8:00am–5:00pm with a 1-hour lunch. You will verify and process invoices promptly and maintain vendor relations within a mission-driven nonprofit home infusion provider.

You’ll support month-end close, manage payments, and help optimize AP processes while benefiting from a comprehensive benefits package and excellent PTO.

Qualifications

• High School graduate required; accounting background preferred.
• 2–4+ years accounts payable experience preferred.
• Familiar with fraud and abuse laws (federal/state).
• HIPAA Privacy and Security regulations knowledge preferred.
• Excellent verbal and written communications skills.
• Strong organizational abilities and attention to detail.
• Proficient with Microsoft Office; Sage experience helpful.
• Experience with AP automation tools and corporate card management.

Responsibilities

• Develops and maintains a system for receipt and organization of invoices/vendor statements; reconciles discrepancies.
• Checks vendor files for outstanding invoices and communicates with managers/vendors on old invoices.
• Verifies invoices against quantity, unit price, extensions, discounts; matches to POs/receiving docs.
• Routes invoices to managers for verification/approval and ensures proper coding.
• Month-end: review pending invoices, calculate accruals, reconcile AP subledger to GL.
• Prepares weekly payment runs; imports into online banking portal for CFO approval.
• Daily management of Positive Pay exceptions and ACH monitoring.
• Processes employee expense reimbursements and corporate card management weekly.
• Participates in year-end processes including 1099s and audits as needed.
• Oversight of vendor Masterfile data and responds to payment status inquiries.
• Trains managers on AP automation software; supports other accounting functions.
• Assists in AP automation tool implementation and workflow optimization.
