Job summary

Mechanical Products Nevada is seeking a Service Estimating Coordinator in Las Vegas to manage service opportunities from lead review through field completion. You will confirm scope, prepare quotes, coordinate scheduling, dispatch, and billing handoff, working with the Service Manager and technicians.

The role requires assessing labor hours, parts, and vendor services, maintaining accurate records, and ensuring timely quote submission and closure as won.

Qualifications

• Associate degree in business, construction, engineering, HVAC, or related field; or equivalent combination of education and three years of relevant experience.
• Strong MS Word, Excel, PowerPoint, and Outlook skills.
• Experience with ERP, CRM, estimating, and document-management systems; pref. Dynamics 365 Field Service, Experlogix, or Smartsheet.
• HVAC, mechanical contracting, engineering, construction, or field service experience preferred.
• Proven ability to manage a high volume of opportunities and maintain accurate records.

Responsibilities

• Review new service leads and confirm scope, customer contact, jobsite, estimated labor hours, required parts, photographs, and related assets.
• Follow up with technicians, customers, sales representatives, vendors, or the Service Manager when information is missing or clarification is needed.
• Qualify leads, create service opportunities in Dynamics 365 Field Service and Experlogix, and assign to the service team or house account.
• Develop estimates that include labor, expenses and fees, materials, freight, rental equipment, and vendor services when applicable.
• Coordinate pricing, availability, and lead times for required parts, materials, equipment, and services.
• Prepare customer quotes using approved templates and include labor and taxable-item breakdown.
• Submit quotes to the Service Manager for review and update opportunity status and quote sent date.
• Monitor open leads and opportunities; maintain records and provide progress updates at meetings.
• Receive POs, attach documents to the opportunity, and notify when quotes are ready to close as won.
• Manage approved work after it becomes a work order, including scheduling and billing handoff.
• Schedule and dispatch technicians based on scope, location, deadlines, and availability.
