USA Mechanical in Middletown, CT, is seeking a proactive HVAC Service Dispatcher to coordinate daily service operations from our Middletown office. You will schedule technicians, prioritize calls, and be the central link between customers, technicians, and internal teams.

The ideal candidate has experience in dispatching and HVAC-related service environments, strong communication skills, and proficiency with dispatch software and MS Office.

Qualifications

• Prior dispatching, scheduling, customer service, or service coordination experience is preferred.
• Experience in HVAC, mechanical contracting, plumbing, construction, or facilities maintenance is a plus.
• Strong organizational skills with the ability to manage multiple priorities and time-sensitive requests.
• Excellent verbal and written communication skills.
• Professional and solution-oriented when working under pressure.
• Comfortable using computers, email, Microsoft Office, and dispatch software.
• Strong attention to detail and commitment to accurate documentation.
• Ability to work independently while collaborating with teams.

Responsibilities

• Receive, review, and prioritize incoming service requests from customers, technicians, and internal teams.
• Schedule and dispatch HVAC, plumbing, and mechanical service technicians based on urgency, skills, location, and availability.
• Maintain clear and timely communication with customers regarding appointment windows, status, delays, and follow-up needs.
• Monitor technician schedules and adjust assignments to support emergencies and changes.
• Enter and update work orders, customer information, service notes, and status details in management systems.
• Coordinate with service managers, project teams, parts personnel, and vendors to support efficient service calls.
• Track open calls and ensure proper documentation, follow-up, and closure of completed work orders.
• Support after-hours or emergency service coordination as required.
