HVAC Scheduling Coordinator

Bob Heinmiller Air Conditioning is a family-owned company that has been servicing the greater Orlando area for over 30 years. Our company is based on fostering integrity, honesty, and reliability in everything we do. We have an immediate opening for an HVAC Scheduling Coordinator to join our team.

The position: As the single point of contact you will perform a variety of duties such as scheduling and coordinating service calls and ensuring technicians have the appropriate tools, parts, and equipment to complete the job in a timely manner, maintain accurate records, provide updates as needed and update all parties of any changes.

Work Hours: Mon - Fri 8am to 5pm, 1 hour lunch, with potential OT during peak seasons.

Office Location: Orlando, FL - this is not a remote position

Pay Scale: $16.00 - $20.00/ hr. Depending on experience

Position Summary: Maintain the Service Technicians' daily schedules and dispatch the technicians as service calls are completed. Schedule return trips with customers when parts are in. Maintain the on-call schedule for service technicians. Maintain customer database with current information. Clear and concise communications with department managers, employees, and company customers, including keeping customers appraised as to company schedule and requested lead-times. Provide accounting with maintenance contract billing information. Prepare service invoices and timecards for processing.

  • Adaptability/ flexibility. This job can have a lot of moving parts, we want someone who can shift priorities quickly.
  • High attention to detail. This job will involve working with the details rather than the big picture.
  • Autonomy/ Independence. You will need to enjoy working with little direction.
  • Ability to work in high pressure/stress environment.

Job Requirements:

  • Three years related experience in customer service, dispatching, or scheduling
  • Ability to multi-task
  • Geographical knowledge of service area or map reading skills
  • Computer skills
  • Basic knowledge of the industry is
