Job summary

Maxair Mechanical, Inc. is seeking a detail-oriented Account Coordinator to assist the Account Manager in executing service projects for our HVAC customers.

You will handle back-office processes, coordinate with customers, field staff, and suppliers, and ensure timely, cost-efficient project execution. Responsibilities include planning, scheduling, records management, and communication with the AM to address concerns while maintaining quality service and budget adherence.

Qualifications

• One or more years of combined practical and academic experience in HVAC sub-fields.
• Ability to coordinate the requirements of customers, employees, outside suppliers, delivery schedules, and subcontractors.
• Ability to negotiate with suppliers to ensure prompt and timely delivery at the lowest possible price.
• Good oral and written communication skills.
• Leadership and supervisory skills to motivate employees and maintain morale.
• Familiarity with HVAC-related federal, state, and local laws, codes, and regulations.
• Valid driver’s license and ability to pass pre-employment drug screen.
• Proficiency with Excel, Word, Access, Outlook, and job cost accounting software.

Responsibilities

• Plan, organize, control, and coordinate project aspects assigned by the account manager.
• Schedule jobs based on the owner’s schedule.
• Maintain administrative records, renewals, invoicing, and close-out materials.
• Route customer concerns to the account manager promptly and cost-effectively.
• Coordinate with suppliers on pricing, performance, reliability, and availability.
• Oversee projects to ensure customer service, efficient use of equipment, and budget goals.
• Evaluate vendor/subcontractor proposals for compliance with requirements.
