Job summary

Midwest Applied Solutions seeks an organized Administrative Coordinator to support HVAC rental operations. You will handle calls, gather order details, and coordinate with service teams to ensure startup reports and tickets are properly documented.

Ideal candidates have 1+ years in mechanical HVAC service or equipment sales, with a Bachelor’s degree preferred and strong interpersonal and communication skills for a fast-paced environment. Growth opportunities and leadership access are provided.

Responsibilities

• Answer phone calls and take messages professionally.
• Gather information for orders and bid requests.
• Coordinate with service for startup reports and work tickets.
• Review bid documents to determine MAS bidding viability and route to Sales Engineers.
• Assist with ordering office supplies and equipment.
• Coordinate/copy/email installation manuals and related docs.
• File and organize projects, bid documents and equipment orders.
• Learn parts business and processes for equipment orders.
• Communicate with vendors to fulfill customer orders.
• Create quotes for equipment orders where applicable.
• Follow up on aged accounts receivable.
• Pack and ship correspondence/products to customers and vendors.
