Qualifications

• Must have ServiceTitan experience or equivalent.
• HVAC/home-service dispatch experience preferred.
• Strong communication and organizational skills.
• Ability to translate work scope into scheduling and materials.

Responsibilities

• Serve as first point of contact by phone, text, and email.
• Manage daily dispatch board and communicate with customers, technicians, subcontractors, builders, vendors, and team members.
• Develop understanding of time, crew, parts, and equipment for service work.
• Schedule realistic appointment windows and job durations.
• Confirm appointments and communicate delays to customers.
• Track open jobs, parts, permits, inspections, and follow-ups to completion.
• Source and order parts, maintain delivery dates.
• Create and issue purchase orders; maintain docs in the service system.
• Schedule permits and inspections and coordinate access.
• Maintain accurate notes in the service management software.
• Coordinate with field and office teams so technicians arrive prepared.
• Identify conflicts early and communicate solutions.
