Responsibilities

  • Manage HR administrative processes related to recruiting, onboarding, changes, and offboarding.
  • Coordinate recruitment activities including job postings, candidate sourcing, scheduling, offers, onboarding and reporting.
  • Prepare offer letters, amendments, and employment documentation.
  • Maintain accurate employee records and HR databases with data integrity and confidentiality.
  • Coordinate onboarding and ensure completion of required documentation.
  • Monitor probation periods and status changes.
  • Support payroll data collection and validation for payroll providers.
  • Administer employee benefits and respond to inquiries.
  • Manage leave, attendance, and other HR admin tasks.
  • Ensure compliance with labor laws and company policies.
  • Support HR reporting with metrics and workforce data.
  • Collaborate with managers, Finance, and external partners to optimize HR operations.
  • Contribute to process improvements and standardization.

Job description

We are looking for an organized, detail-oriented, and proactive HR Administration Specialist to join our Human Resources team. This role will be responsible for managing and coordinating all HR administrative activities throughout the employee lifecycle, ensuring compliance with labor regulations, accuracy of employee records, and a positive employee experience.

The ideal candidate combines strong administrative skills with a service-oriented mindset, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Manage HR administrative processes related to recruiting, onboarding, employee changes, and offboarding.
  • Manage Recruiting operations including job advertising, candidate sourcing, screening, interview scheduling, offer preparation, onboarding coordination, and recruitment reporting, ensuring an efficient and high-quality hiring process aligned with organizational workforce plan
  • Prepare offer letters, amendments, confirmation letters, and other employment documentation.
  • Maintain accurate employee records and HR databases, ensuring data integrity and confidentiality.
  • Coordinate employee onboarding activities and ensure completion of all required documentation.
  • Monitor probationary periods and employment status changes.
  • Support payroll preparation activities by collecting, validating, and communicating employee data to payroll providers.
  • Administer employee benefits programs and act as a point of contact for employee inquiries.
  • Manage leave of absence, attendance, and other employee-related administrative processes.
  • Ensure compliance with labor laws, company policies, and internal procedures.
  • Support HR reporting activities, maintaining HR metrics and workforce data.
  • Collaborate with managers, employees, Finance, and external partners to ensure efficient HR operations.
  • Contribute to the continuous improvement and standardization of HR processes and procedures.

Qualifications

Education

  • Bachelor's degree in Human Resources, Business Administration, Economics, Labor Relations, or a related field.

Experience

  • 3-5 years of experience in HR Administration, HR Operations, Payroll Administration, or a similar role.
  • Experience managing employee lifecycle administration in a structured organization.
  • Familiarity with payroll processes and HR information systems.
  • Experience in manufacturing or multinational environments is a plus.
  • Strong knowledge of HR administrative processes and employment documentation.
  • Understanding of labor law and employment compliance requirements.
  • Excellent organizational and time-management skills.
  • High attention to detail and accuracy.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong interpersonal and communication skills.
  • Service-oriented approach and employee-focused mindset.
  • Proficiency in Microsoft Office, particularly Excel.
  • Experience with HRIS and digital HR tools.
  • Fluent English; additional languages are considered a plus.

position is offering a pay range of $60,000-$75,000/year. However, we consider several factors when extending an offer, including but not limited to education, experience, geographic location, and discipline.
