Human Resources Project Manager and Executive Assistant

Base pay range

$80,000.00/yr - $110,000.00/yr

Reporting to: SVP of Human Resources

Brand/Product Focus: Human Resources

Location (On-Site): New York City, Midtown Manhattan – Fashion District

Success Profile:

We are seeking a versatile and organized professional to serve in a hybrid role as both an Executive Assistant and HR Project Manager. In this dual capacity, you will manage HR-related projects, help to streamline processes, and provide high-level executive support. The ideal candidate is highly adaptable, detail-oriented, and comfortable working with cross-functional teams and internal and external customers.

Key Accountabilities:

Executive Assistant:

  • Calendar & Email Management: Manage the executive’s calendar, schedule meetings, and handle correspondence, ensuring timely responses and follow-up.
  • Administrative Support: Provide day-to-day administrative support, including document preparation, filing, and internal communications.
  • Travel & Expense Management: Coordinate travel arrangements and prepare expense reports for the executive.
  • Meeting Preparation & Support: Organize meetings, including preparing agendas, materials, and presentations, and taking minutes.
  • Confidential Information Handling: Manage sensitive and confidential information with the utmost discretion.

Human Resources Project Manager:

  • Project Planning & Execution: Oversee HR projects from inception to completion, including recruitment drives, employee engagement initiatives, and policy implementation.
  • Process Improvement: Identify areas for operational improvement within HR practices, and recommend solutions to enhance efficiency.
  • HR Data & Reporting: Analyze HR metrics and prepare detailed reports for leadership on areas such as performance management, turnover, and employee satisfaction.
  • Compliance & Policy Development: Ensure HR activities comply with company policies, labor laws, and other regulations. Assist in the development and updating of HR policies.
  • Vendor & Stakeholder Management: Manage relationships with HR vendors, contractors, and other external partners to support HR projects.

Education and Experience:

  • 3 years of experience in HR project management or as an Executive Assistant to a Chief People Officer, preferably with some exposure to both functions.

Skills and Behaviors:

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Excel, PowerPoint and HR related software (i.e. ADP Next Generation)
  • Ability to handle confidential matters with integrity.
  • Problem-solving and decision-making skills.

Preferred Qualifications:

  • Certification in HR (e.g., SHRM-CP, PHR) or project management (e.g., PMP).
  • Experience in a fast-paced corporate environment, ideally supporting senior executives.

This job is on-site 5 days per week.
