Position Overview
A well-established engineering and architecture firm s seeking an experienced HR Operations Manager to lead and streamline day-to-day HR operations, total rewards administration, payroll workflows, and compliance across our nationwide offices. Reporting directly to the Head of People and Culture, this hands-on role serves as the operational backbone of the HR department, supporting 200+ employees across corporate, architecture, and engineering disciplines.
Key Responsibilities
Benefits & Total Rewards Administration
- Manage end-to-end administration of health and welfare plans (Cigna medical, dental, vision, life, short/long-term disability, and supplemental plans).
- Oversee annual Open Enrollment, qualifying life events, COBRA administration, and daily employee inquiries.
- Administer the company 401(k) retirement plan, including eligibility tracking, bi-weekly contribution funding, compliance testing, and audit support.
- Serve as the primary liaison with insurance brokers, benefit carriers, and third-party administrators.
Payroll Operations & HRIS Management
- Partner with finance/payroll to ensure accurate, timely processing of bi-weekly multi-state payroll (26 pay periods).
- Oversee and maintain the HRIS database (e.g., Paylocity), ensuring data integrity across employee records, compensation changes, titles, and tax withholdings.
- Build, audit, and generate monthly/quarterly HR reporting metrics (headcount, turnover, benefits billing reconciliation, PTO accruals).
Onboarding, Offboarding & Employee Life Cycle
- Own operational onboarding workflows: background checks, I-9 verification, system profile creation, and new-hire benefits orientation.
- Manage structured offboarding processes, severance execution, exit interview tracking, and final pay calculations.
- Administer leaves of absence (FMLA, short-term disability, parental leave, state-mandated leave programs).
Compliance & HR Policies
- Maintain compliance with federal, state, and local labor laws across all regional office locations (FL, AZ, PA, AR, etc.).
- Maintain up-to-date employee handbooks, labor posters, OSHA reporting, and EEO-1 filings.
- Maintain staff licensure records, professional development reimbursements, and certification renewals.
Required Qualifications
- Experience: 5–8+ years of progressive HR operations, total rewards, or HR generalist experience, ideally within a professional services, architecture/engineering, or multi-site corporate environment.
- Benefits Expertise: Deep practical knowledge of medical plan administration (self-funded/fully-insured, HSA/FSA structures, Cigna networks), 401(k) compliance, and leave management.
- Systems Proficiency: Advanced hands‑on experience with mid‑market HRIS platforms (Paylocity, ADP, UKG, or Workday), applicant tracking workflows, and Microsoft Excel (VLOOKUPs, pivot tables, complex reporting).
- Communication & Discretion: High emotional intelligence, exceptional organization, and proven ability to handle sensitive, confidential employee relations and executive communications.
