Qualifications

Description

SUMARY OBJECTIVE:

Execute the day-to-day processing of the Human Resources (HR) Department’s Benefits, FMLA, ADA, Workers’ Compensation, and Retirement plans for both Union and Non-Union employees. Provide support for various HR programs in the Company including general HR support as well as project monitoring and a backup to Payroll administration.

ESSENTIAL FUNCTIONS:

1. Maintain benefit records for all employees including retirees, monitor records for terminations and send annual notifications on benefit changes as required. Prepare reports monthly for each company, department and employee to show updated benefit information.

2. Process the benefits during Open Enrollment, and with AFLAC, UPMC FSA and dental billing, and on-line updates/changes regarding these accounts.

3. Coordinate employee life events by communicating and assisting with their online benefits enrollment.

4. Complete the processing of monthly invoices for medical, dental, vision, life and other insured benefits in a timely and efficient manner. Maintain and process monthly correspondence, billings and payments for benefits as well as the filing system for insurance records. Make on-line updates and changes to medical, dental, vision, life & COBRA records as necessary.

5. Administer the Cobra process with the third-party administrator. Keep accurate records to ensure compliance.

6. Ensure compliance with all benefit plan summaries and plan documents and required plan and benefit notices to employees.

7. Keep Human Resources and managers informed of Employee Leave of Absence and act as intermediary between Management and Employees.

8. First point of contact for FMLA, Disability and ADA claims. Act as ADA Coordinator and manage the interactive process in relation to ADA Accommodation requests and concerns.

9. Ensure completion and filing of regulatory reports such as the 5500, ACA, Medicare Notice Act, CHIP Act, Breast Reconstructive Act, Pension and Retirement notices and others are required by regulatory specified deadlines.

10. Administer the Flexible Spending Accounts and Health Savings Accounts by monitoring reports, submitting wire transfers, preparing checks and/or faxes when required.

11. Process and generate the yearly PPACA reports and IRS filings.

12. Provide clerical support of the Pension, Profit Sharing and 401(k) Plans Committee. Work with actuaries and trustee to ensure all plans are compliant with federal requirements. Coordinate in-person and virtual meetings. Receive and review prepared documents and distribute to board members prior to meetings. Record notes relevant to minutes and transcribe meeting notes into minutes format using Word.

13. Ensure completion of the Company Retirement Plans including analysis of reports and accuracy of files; Pension Committee packets; processing of employee pension/401k distributions, loans and withdrawals.

14. Assist with the Workers' Compensation program to ensure legal compliance, worker well being and safety, and cost control. Conduct accident investigations; ensure appropriate medical treatment is provided for promptly. Work with department supervisors and affected personnel to provide for prompt return to work. Process year end Audit of wages to the Workers’ Compensation Carrier.

15. Assist with new employee orientation function by communicating with new hires on their first day of employment and coordinate monthly company orientation session; track and ensure paperwork is completed.

16. As required, back-up the payroll process to include payroll processing, maintenance, changes, input, balancing, etc.

17. Compute and distribute the annual Compensation Statements to employees.

18. Responsible for relaying information to employees and/or management of Business Casual Days and Women’s Information Network events as well as tracking and coordinating the scheduling/sign ups

19. Maintain all Company records, electronic and paper, for active and terminated employees.

20. Maintain and update when applicable all company bulletin boards with Wage & Hour and other mandatory notices.

SUPERVISORY RESPONSIBILITY:

This position requires no supervision of employees.

WORK ENVIRONMENT:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

PHYSICAL DEMANDS:

Those activities in which they must convey detailed or important spoken instructions to other workers or clients accurately, loudly, or quickly; 3) Hearing – perceiving the nature of sounds at normal speaking levels with/without correction. Ability to receive detailed information through oral communication and make the discriminations in sound. 4) Specific vision abilities required by this job include: viewing a computer monitor; extensive reading.

Sedentary work may require occasionally lifting of up to 10 pounds and/or move up to 25 pounds. This work involves sitting most of the time with walking and sitting.

REQUIRED/ PREFERRED EDUCATION and EXPERIENCE:

In lieu of a Bachelor’s Degree, an Associate Degree or high school education/GED with at least five (5) years of human resources benefit experience.
