HUMAN RESOURCES COORDINATOR

Job Summary:

The Human Resources Coordinator plays a key role in supporting HR operations and general office administration across all business divisions. This role is responsible for managing onboarding processes for contracted employees across multiple clients, ensuring accuracy and compliance, while also providing administrative and logistical support to maintain a well-functioning office environment. The ideal candidate thrives in a fast-paced setting, is detail-oriented, and enjoys balancing people-centered tasks with operational responsibilities.

Key Responsibilities:

HR & Onboarding Responsibilities:

  • Coordinate the full onboarding process for contracted employees, including distributing employment-related documents and ensuring completion and compliance with company and client requirements.
  • Operate within client systems to upload completed documents and enter contractor information, ensuring data accuracy and maintaining confidentiality.
  • Complete Forms I-9, verify documentation, and maintain accurate I-9 records.
  • Assist with background checks and online investigation requests for new hires.
  • Respond to employee inquiries related to benefits, time-off, onboarding, and HR policies.
  • Support HR Manager with leave of absence and accommodation requests.
  • Conduct audits of HR programs (e.g., benefits, onboarding) and participate in compliance checks.
  • Assist with processing terminations and managing performance documentation.
  • Help ensure payroll-related data is submitted accurately in applicable portals.
  • Facilitate new hire training events and help onboard employees with company systems.

Administrative & Office Support Responsibilities:

  • Manage office supply ordering (including snacks, catering, and general supplies) and maintain inventory, especially for the Chicago office.
  • Coordinate logistics for company events, in-office training, and employee engagement activities.
  • Welcome new hires on-site and ensure access to office systems and workspace.
  • Prepare correspondence, documentation, and reports as needed.
  • Provide general administrative support to ensure the office runs smoothly and professionally.

Required Skills and Abilities:

  • Strong verbal and written communication skills.
  • Excellent interpersonal and customer service abilities.
  • High attention to detail and organizational skills.
  • Solid understanding of HR principles, practices, and procedures.
  • Ability to manage time effectively and prioritize in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and ability to learn new systems quickly.

Experience:

  • Minimum of 2 years in an HR role, with direct experience supporting onboarding and employee lifecycle processes.

Physical Requirements & Work Schedule:

  • Prolonged periods sitting at a desk and working on a computer.
  • Ability to lift up to 30 lbs.
  • In-office presence required Monday through Friday during initial onboarding period (length determined by experience); ongoing hybrid schedule of three days per week (Monday–Wednesday).
