HR Assistant (Bilingual-Spanish)
Job Summary
The Human Resources Assistant provides administrative and operationalsupport to the Human Resources Department by assisting with onboarding,employee records management, benefits administration, and employee engagementinitiatives. This position serves as a key point of contact for employees andvisitors, helping ensure efficient HR processes while maintainingconfidentiality and compliance with company policies and employmentregulations. This role offers an excellent opportunity for an individual seekingto grow their career within Human Resources and gain exposure to multiple HRdisciplines. This position requires fluency in both English and Spanishto effectively communicate with applicants, employees, and visitors.
RequiredLanguage Skills
- Fluency in both English and Spanish (written and verbal)is required.
- This role regularly communicates with Spanish-speakingapplicants, employees, and visitors and requires the ability to provideprofessional HR support in both languages.
Key Responsibilities
Onboarding & Orientation
- Support the new hire onboardingprocess by communicating with new hires and ensuring the timely completionof required employment documents.
- Assist with facilitating employeeorientation sessions, as needed, to introduce company policies, benefits, and workplace expectations.
- Create and maintain accurateemployee files within the Human Resources Information System (HRIS).
- Participate in HR projects,including process improvements, development of training materials, andemployee engagement activities.
- Maintain and update employeerecords to ensure compliance with company policies and applicableemployment laws.
- Perform other duties andresponsibilities as assigned.
File Room Coordination & Records Management
- Assist the File Room Clerk inmaintaining and organizing electronic employee records.
- Ensure employee documentationremains current, complete, and compliant with company policies and legalrequirements.
- Support periodic audits, filepurges, and retention activities while maintaining confidentiality anddata integrity.
Reception Desk Support
- Provide switchboard coverage byanswering and directing incoming calls in a professional and courteousmanner.
- Greetand assist visitors, applicants, and employees at the front desk in bothEnglish and Spanish while providing exceptional customer service andsupport.
General Administrative Support
- Maintain the Human ResourcesDepartment calendar and schedule departmental activities.
- Assist in coordinating meetings,training sessions, employee events, and team-building activities.
- Update employee informationwithin HR systems as needed.
- Handle confidential informationwith professionalism, discretion, and sound judgment.
Benefits & Employee Engagement
- Assist with benefits enrollments,changes, and general benefits administration.
- Support employee engagement,recognition, and retention initiatives.
Qualifications
- High School Diploma or equivalentrequired; Associate's or Bachelor's degree in Human Resources, BusinessAdministration, or a related field preferred.
- Bilingual (English/Spanish) required. Candidates must be able to read,write, and communicate effectively in both languages.
- One to two years of experience inHuman Resources, office administration, or a related field.
- Highly motivated, self-directedindividual with exceptional attention to detail.
- Excellent written, verbal, andinterpersonal communication skills.
- Proficiency in Microsoft OfficeSuite, including Word, Excel, and Outlook.
- Ability to work independently andcollaboratively in a fast-paced environment.
- Ability to maintainconfidentiality and handle sensitive information with discretion.
