Responsibilities

  • Assist with all internal and external HR related matters as assigned.
  • Answer incoming calls; assist with HR or Benefits questions.
  • Assist with employee record keeping.
  • Participate in pre-employment and onboarding processes with supervisors and staff.
  • Join new hire orientation weekly to assist with Benefits/HR questions.
  • Handle administrative tasks following separations.
  • Assist with time off and leave administration and ensure effective communication.
  • Participate in open enrollment program implementation and conduct.
  • Assist with benefit payments, reminders, and cancellations for those on leave; collect payments and forward to AR.
  • Process and approve invoices related to benefits; forward to A/P.
  • Assist with recruitment by screening and scheduling interviews.
  • Assist in developing organizational guidelines and procedures.
  • Recommend strategies to motivate employees.
  • Other HR duties as assigned.
  • Join with stakeholders to ensure documentation and compliance.

JOB TITLE : Human Resources Assistant

REPORTS TO : Human Resources Generalist

SUMMARY : The Human Resources Assistant is responsible for providing administrative and clerical support to the Human Resources Department.

ESSENTIAL DUTIES AND RESPONSIBILITIES : “Essential functions” are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.

  • Assist with all internal and external HR related matters as assigned.
  • Answering incoming calls; assisting with any HR or Benefits related questions.
  • Assist with employee record keeping.
  • Active facilitator in the pre-employment and the on-boarding process partnering with supervisors and staff to ensure appropriate documentation is obtained from newly hired employees.
  • Join the new hire orientation weekly to assist with Benefits/HR related questions.
  • Initiate and complete administrative tasks following a separation from the company.
  • Assist with management of time off and leave administration and ensure effective communication.
  • Participates in the implementation and conduct of open enrollment programs for employees.
  • Assist with benefit payments, past due reminders, and cancellations for those out on leave; collect payment information and send to Accounts Receivables.
  • Complete and approve all invoices related to benefits; send to Accounts Payable for processing.
  • Assist with the recruitment process by screening and scheduling interviews.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED :

  • Excellent written and verbal communication skills.

  • Strong computer literacy with capability in email, MS Office, and HR software.
  • Interpersonal skills necessary in order to communicate in person, by e-mail and telephone and follow instructions effectively from a diverse group of staff and auto haulers and to provide information with ordinary courtesy and tact.
  • Attention to detail and accuracy a must.
  • Ability to listen to and resolve employee complaints and concerns.
  • Ability to accurately process benefit rate changes and notification documentation.
  • Knowledge of open enrollment systems and procedures
  • Work occasionally requires a high level of mental effort and strain when performing a high volume of clerical tasks and performing other essential duties.
  • Work may require more than 40 hours per week.

While performing the duties of this job, the employee is required to sit/stand for most of his/her job duties. There is the need to frequently walk. There will be a moderate amount of standing, stooping, kneeling, bending, lifting and reaching for some of his/her job duties.

Visual requirements include reading off a computer screen as well as printed materials. A high degree of dexterity is required due to frequent use of a telephone console.

Verbal and auditory requirements include the ability to communicate clearly over the telephone as well as in person.

There is a moderate level of grasping, lifting, pushing and/or pulling of objects of less than 25 lbs.
