The Human Resources Assistant supports the day-to-day operations of the Human Resources function, helping ensure positive employee experience and accurate, efficient HR processes. This role provides administrative and operational support across recruiting, onboarding and offboarding, employee records, benefits, compliance, payroll coordination, and employee engagement.
The ideal candidate is highly organized, detail-oriented, responsive, and comfortable handling confidential information. This position is well suited for someone who enjoys working across multiple areas of HR and wants to develop their skills in a growing organization.
This is a full-time, onsite position based in Irvine, CA. Employees are expected to work in the office Monday through Thursday. Fridays are remote but may require in-person attendance based on business needs.
HR Administration & Employee Records
- Maintain accurate and confidential employee records and HR documentation.
- Assist with employee changes, including new hires, promotions, transfers, and terminations.
- Maintain HR trackers, reports, calendars, and documentation.
- Ensure required forms and employee records are complete and up to date.
- Assist with developing and maintaining HR processes, templates, and standard operating procedures.
- Support the recruiting process from job posting through candidate onboarding.
- Coordinate interviews and communication with candidates.
- Assist with preparing job descriptions and posting open positions.
- Support background checks, reference checks, and other pre-employment requirements as applicable.
- Help coordinate new hire paperwork and pre-employment activities.
Onboarding & Offboarding
- Coordinate and support the new hire onboarding process.
- Ensure new employees complete required paperwork and HR system setup.
- Coordinate onboarding schedules and required training.
- Assist with employee offboarding, including documentation, system access coordination, and exit processes.
Compliance
- Assist with maintaining compliance-related HR records and documentation.
- Support required federal, state, and local employment compliance activities.
- Assist with maintaining the Employee Handbook and other HR policies.
- Escalate employee relations, compliance, or legal matters to appropriate HR leadership.
General Support
- Provide administrative support to the HR function and leadership as needed.
- Assist and collaborate with business operations manager.
- Onsite office restocking, resupply and management
- Perform other duties and responsibilities as assigned.
Qualifications
- 1–2 years of experience in Human Resources, administration, operations, or a related field preferred.
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred, but equivalent experience may be considered.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Proficiency with Microsoft Office or Google Workspace.
- Ability to manage multiple priorities in a fast-paced, growing organization.
