Russell Tobin is seeking a detail-oriented and customer-focused Human Resources Assistant to support a team in Alpharetta, GA. This role will serve as a first point of contact for candidates with questions regarding background screening, documentation requirements, and fingerprint processing. The ideal candidate will have strong communication skills, excellent attention to detail, and the ability to manage high-volume candidate support while handling sensitive information with professionalism and discretion.
Key Responsibilities
- Provide timely and accurate support to candidates throughout the background screening process
- Serve as the first point of contact for candidates with screening questions or documentation needs
- Answer incoming candidate calls, return voicemails, and document call notes
- Send daily updates to Case Managers regarding candidate messages and concerns
- Monitor and manage shared candidate onboarding and Workforce Screening email inboxes
- Triage communications and route requests to the appropriate Case Managers
- Advise candidates regarding process expectations, deadlines, and required documentation
- Follow up with candidates regarding missing documents or forms
- Scan and process hard-copy international fingerprint cards
- Ensure fingerprint information is accurately processed and submitted
- Update Fieldglass for contingent fingerprint submissions and communicate completion to appropriate teams
- Format Microsoft Excel reporting templates for Workforce Screening, Compliance, HR, and Candidate Care teams
- Investigate criminal lead report items and communicate issues requiring action to the background screening vendor
- Track candidate requests, issues, call activity, and operational metrics using Microsoft Excel dashboards
- Provide feedback regarding recurring candidate issues and opportunities for process improvement
- Prepare ad hoc reports and assist with additional operational assignments as needed
Qualifications
- Experience providing high-volume customer service or operational support
- Strong written and verbal communication skills
- Ability to interact professionally with candidates and internal stakeholders
- Experience managing shared inboxes and time-sensitive correspondence
- Strong attention to detail when collecting, scanning, logging, and tracking documentation
- Proficiency with Microsoft Excel for tracking, reporting, and dashboards
- Ability to organize data and create clear operational metrics
- Strong judgment and professionalism when handling sensitive information
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Strong follow-up and organizational skills
Preferred Qualifications
- Previous experience supporting background screening, onboarding, HR Operations, Corporate Security, Compliance, or case management
- Familiarity with background screening or workforce management systems
- Experience preparing daily operational reports for cross-functional teams
- Experience working with sensitive or confidential candidate information
- Ability to identify recurring issues and recommend process improvements
- Positive, dependable, and service-oriented attitude
- Ability to work effectively in a high-volume operational environment
