The Green Recruitment Company in Orlando is seeking a highly organized HR Administrator to support the daily operations of our Human Resources function. You will maintain employee records, coordinate onboarding and offboarding, and ensure accurate documentation across the business.
Reporting to the Group HR Manager, you will work with cross-functional teams, manage HRIS data (HiBob), assist payroll updates and benefits administration, and help generate routine HR reports.

As part of our continued growth, we are seeking a highly organized HR Administrator to support the daily operations of our Human Resources function. In this role, you will help maintain accurate employee records, coordinate onboarding and offboarding processes, support HR documentation, and ensure the smooth delivery of people operations across the business. Working closely with the HR Manager and cross-functional leaders, you will ensure employee data is up to date, policies are clearly documented, and administrative tasks are completed efficiently and accurately. This role requires strong attention to detail, discretion, and confidence working with systems and multiple priorities.
This position is based in Orlando and reports directly to the Group HR Manager.
Employee Records & Compliance
Maintain accurate digital and physical employee records, including contracts, policy acknowledgments, leave data, and onboarding documentation
Maintain compliant right-to-work documentation across all regions
Support global mobility administration by preparing visa documentation and tracking right-to-work updates
Ensure all employee files are maintained in line with data protection and confidentiality requirements
Employee Lifecycle Administration
Coordinate onboarding and offboarding processes, including document collection, induction scheduling, system access setup, and exit interview administration
Draft employment contracts, offer letters, and standard HR correspondence
Support the rollout of HR procedures by keeping templates, checklists, and documents up to date
Prepare employee change letters, including salary adjustments, promotions, role changes, and other standard employment updates
HRIS & Systems (HiBob)
Update the HRIS (HiBob) and internal systems with employee changes, job details, attendance information, and reporting data
Act as an HRIS super user by maintaining data accuracy and supporting system improvements
Identify opportunities to streamline workflows, improve data quality, and enhance user experience within the HRIS, escalating recommendations to the HR Manager
Payroll & Benefits Administration
Assist with payroll administration by preparing employee updates, tracking time-off changes, and verifying required inputs
Assist with the administration of global benefit plans, including medical insurance, life assurance, pensions, and other benefits
Reporting & Documentation
Prepare routine HR reports, including headcount, turnover, onboarding progress, and compliance tracking
Maintain and update HR policy documents and ensure the latest versions are stored correctly
Wellbeing & Culture Support
Coordinate employee wellbeing activities and administrative tasks for the Wellbeing Committee
Uphold strict confidentiality across all employee information, documentation, and communication
1 to 2 years of experience in HR administration, office administration, recruiting support, or a related role
Working knowledge of Microsoft Office and comfort with HR software or HRIS platforms
Strong organizational skills, written communication, and follow-through
Basic understanding of employment documentation, record‑keeping practices, and workplace policies
Ability to handle confidential information with professionalism and good judgment
