Job summary

CalPortland is seeking an HR Support Specialist in Federal Way, WA to coordinate recruitment screening, pre-employment processing, and payroll data entry in SAP. This salaried role supports regional HR operations and maintains DOT-related files for drivers.

The ideal candidate holds a Bachelor’s in HR or related field and demonstrates confidentiality, strong communication, and organizational skills. Knowledge of FLSA/EEO/Leave laws is preferred.

Responsibilities

  • Assist with recruitment screening for hourly positions in concrete/terminal operations.
  • Administer pre-employment processes including background checks and drug screens.
  • Process new hires in payroll systems (SAP) and I-9 compliance.
  • Coordinate E-Verify and maintain I-9 forms.
  • Maintain DQF, employee files, and medical files; ensure retention.
  • Support regional HR Manager and coordinate with clinics and MROs.
  • Assist with job fairs and plant events; improve administrative processes.
  • Respond to unemployment and verification of employment requests.

Under general supervision, performs a variety of human resources support activities. Coordinates with other departments, units, managers, employees, and vendors to ensure the efficient operations of the Human Resources day-to-day functions.

Compensation

Annual Salary $59,000 - $68,000 DOE

Responsibilities
  • Responsible for assiting with recruitment screening of hourly positions for ready mix concrete, aggregates and cement terminal operations
  • Administer the pre-employment hiring process, order background reports, coordinate physicals, drug screens, and orientations
  • Conduct new hire orientation and process all required paperwork toPayroll for SAP data entry
  • Process new hires through E-Verify online portal and maintain I-9 Forms
  • Process new hires in regional new hire reporting site
  • Process employee change forms to Corporate files (SAP)
  • Create and maintain personnel, Driver Qualification Files (DQF), and medical files; purge termination files according to retention periods
  • Maintain relationships with contracted industrial clinics and Medical Review Officer (MRO)
  • Expedite post-accident drug screen testing results to managers in a timely fashion
  • Maintain DQF files and for all commercial drivers and DOT regulated Employees, including; Annual MVR processing, FMCSA Review, and Medical Certifications
  • Maintain Division Master Tracking System
  • Assist with job fairs and plant-related events, as necessary
  • Continuously strive to improve administrative systems and processes, consistent with internal policies and procedures
  • Conduct annual audits of personnel and DQF files, I-9 forms, and other various processes
  • Prepare and maintain employee communications for the Regional office and plant locations
  • Answer incoming calls to the HR line and assist/direct to the appropriate department (Benefits, Payroll, WC, Safety, etc.)
  • Order and maintain annual labor law posters for the Regional office and plant locations
  • Respond to unemployment claims, when necessary
  • Respond to Verification of Employment requests
  • Process vendor invoices to ensure they are accurate, processed, and paid in a timely fashion
  • Provide quality service to both internal and external customers
  • Provide support to Regional HR Manager
  • Other administrative duties and ad hoc projects as required and directed
Education

Bachelor’s Degree in Human Resources Management, Business Administration, Labor Industrial Relations, Public Administration, Social Science or a closely related field preferred

  • Basic knowledge of state and federal law including but not limited to Fair Labor Standards Act, Title VII, EEO, and Leave laws
  • Methods and techniques for personnel record keeping and filing
  • Knowledge of practices and procedures in an office environment
  • Interpersonal skills, tact, patience, and courtesy; ability to build professional relationships with others
  • Strong oral and written communications skills
  • Ability to multitask, prioritize and manage time efficiently. Strong organizational skills
Preferred
  • HRIS Experience
  • Related experience in construction/building materials
  • Knowledge of Department of Transportation (DOT) regulations and requirements for DOT regulated personnel
Conditions of Employment

Successful candidate must submit to a post-offer pre-employment physical examination, drug/alcohol screen, and background check. Some positions require Federal Motor Carrier Safety Administration (FMCSA) registration/clearance as well as ongoing alcohol and drug testing. CalPortland complies with the WA ST Fair Chance Act.
