Job summary

The May Institute in Randolph, MA is seeking a Human Resources Administrative Assistant to support HR operations, records, and initiatives, reporting to the SVP of HR. This role emphasizes confidentiality, accuracy, and relationship-building with staff and field teams.

You will maintain personnel files, manage leave processes, prepare HR documents, support audits and postings, and assist with invoicing and scheduling. This position offers growth opportunities in a fast-paced HR team.

Qualifications

  • High school diploma or equivalent; degree preferred.
  • 2+ years administrative or HR support experience.
  • Strong organizational skills and attention to detail.
  • Ability to handle sensitive and confidential information professionally.
  • Proficiency in Microsoft Office; HRIS experience a plus.
  • Excellent written and verbal communication; ability to prioritize and work in a fast-paced environment.

Responsibilities

  • Maintain employee personnel files and HR systems, ensuring accuracy and confidentiality.
  • Manage leave of absence by tracking documentation, building and maintaining leave spreadsheets and conducting bi-weekly meetings with HR field representatives.
  • Maintain the Leave of absence mailbox and respond to employees' and HR Field Representatives' inquiries regarding FMLA eligibility, procedures, policies and preparing leave paperwork.
  • Prepare reports, spreadsheets, and HR documentation as requested.
  • Update the MA DFML website with the employer's response to notifications received for State leave requests from employees.
  • Support compliance efforts, including audits, 1-9 verifications, and required postings.
  • Provide administrative support to the SVP of HR, including scheduling meetings, maintaining calendars, preparing correspondence and reconciliation of invoices.
  • Perform general office duties such as filing, scanning, data entry, and ordering supplies.

May Institute’s Human Resources team is seeking a Human Resources Administrative Assistant to support key HR operations, employees, and HR initiatives.

About Your Role

The Human Resources Administrative Assistant provides administrative support for key operational functions and the SVP of HR. Responsibilities include maintaining accurate records, handling confidential information, and helping ensure HR processes and initiatives run smoothly.

We are seeking a highly organized, detail-oriented, and motivated administrative professional who can build strong relationships with internal and external customers, effectively manage multiple priorities, and contribute innovative solutions to support the Human Resources team. What You Bring
  • High school diploma or equivalent required; associate or bachelor's degree preferred, or equivalent work experience
  • 2+ years of administrative or HR support experience preferred
  • Strong organizational skills and attention to detail
  • Ability to handle sensitive and confidential information with professionalism
  • Proficiency in Microsoft Office (Outlook, Word, Excel); experience with HRIS systems a plus
  • Excellent written and verbal communication skillsAbility to prioritize tasks, meet deadlines, and work in a fast-paced environment
