Job summary

WHSmith North America is seeking a Human Resource Assistant to support the full recruitment lifecycle, including candidate communications, ATS maintenance, and onboarding activities. Qualifications

  • Bachelor's degree or equivalent combination of education and experience preferred.
  • Strong proficiency in Microsoft Office Suite, particularly Excel.
  • 1+ years of recruiting, onboarding, HR, administrative, or coordination experience preferred.
  • Excellent customer service and communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and commitment to maintaining data accuracy and confidentiality.

Responsibilities

  • Manage candidate communications, including interview invitations, confirmations, follow-up correspondence, and status updates.
  • Maintain accurate candidate records within the Applicant Tracking System (ATS).
  • Post job openings and support requisition management activities
  • Assist recruiters and hiring managers throughout the hiring process to ensure efficient workflow and timely hiring decisions.
  • Track recruiting activity and generate recruitment reports and metrics.
  • Facilitate new hire documentation, including offer acceptance, onboarding paperwork, policy acknowledgments, and employment eligibility documentation.
  • Partner with HR, IT, Payroll, Facilities, and department leaders to ensure all onboarding requirements are completed prior to the employee's start date.
  • Track onboarding milestones and proactively address delays or missing documentation.
  • Serve as a primary point of contact for new hires, providing guidance and support throughout the onboarding process.
  • Assist with onboarding process improvements, documentation updates, and new hire engagement initiatives.
