Responsibilities

• Schedules & roster management: maintain schedules 8+ weeks out in HRIS; handle trades and PTO.
• Labor & overtime control: monitor hours and minimize unauthorized overtime.
• Onboarding & training support: coordinate HRIS onboarding, training schedules, and coverage.
• Attendance & compliance: track attendance, verify timesheets for payroll.
• After-hours on-call: participate in rotation to resolve staffing gaps.

Job Title: HRIS Scheduling Manager - Residential Services

Compensation: $55,000 / year (Salaried Exempt)

Schedule: Full-Time (45-50 hrs/wk, M-F 8:00 AM - 5:00 PM + On-Call Rotation)

About the Role

Vista Care is seeking an HRIS Scheduling Manager to oversee residential staff scheduling, onboarding, and workforce coordination. Dual-reporting to Human Resources and the Program Development Manager, you will serve as the operational backbone for our residential programs, ensuring full shift coverage, overtime compliance, and quality care for individuals with developmental disabilities.

Key Responsibilities

Schedules & Roster Management: Build, publish, and maintain residential schedules at least 8 weeks out in the HRIS platform; manage shift trades, casual hours, and PTO requests.

Labor & Overtime Control: Monitor hours to minimize unauthorized overtime, review variance justifications with Residential Managers, and report approvals to HR and Finance.

Onboarding & Training Support: Facilitate technical HRIS onboarding/offboarding, coordinate new-hire training schedules, and provide class coverage for the Program Development Manager as needed.

Attendance & Compliance: Track attendance patterns, cross-reference shift changes against timesheets for payroll accuracy, and document corrective feedback.

After-Hours On-Call: Participate in the management on-call rotation to resolve urgent residential call-offs and staffing shortages (rotations include weekends and multi-day spans).

Qualifications

Supervisory Experience: Minimum 1 year managing or overseeing 20+ staff members.

Field Background: 1+ years in residential direct support or working with individuals with developmental disabilities / challenging behaviors.

Tech Skills: High proficiency in Google Workspace (especially Google Sheets) and familiarity with complex HRIS/scheduling platforms (UKG preferred).

Communication: Strong professional writing, feedback, and interpersonal skills.

Clearances: Ability to complete E-Verify verification and pass all required background checks upon hire.
