About the Role
We are a growing, combined organization operating two platforms (Gavnat Public Insurance Adjusters and Balance Platform) across Indiana, Minnesota, Colorado and 10 other states. We are hiring an HR, Payroll & Benefits Coordinator to own the day-to-day mechanics of payroll, benefits administration, and HR coordination for our employees across all entities and states. Reporting to the CFO and working closely with finance and leadership, this is a hands‑on role for someone who is precise, discreet, and genuinely enjoys taking care of employees and getting the details right.
Key Responsibilities
Payroll
- Process accurate, on-time payroll across multiple entities and pay cycles: Balance Platform runs weekly; Gavnat and Velocity Public Adjusting run bi-weekly.
- Maintain payroll records, timekeeping, PTO, and deductions; reconcile each pay run and resolve discrepancies.
- Administer multi-state payroll tax setup and withholding for Indiana, Minnesota, and Colorado, and coordinate new-state registrations as the footprint grows.
- Prepare payroll reports and support month-end close, audits, and year-end (W-2s, filings) with the finance team.
Benefits
- Administer employee benefits (medical, dental, vision, 401(k), FSA, EAP, and related plans), including enrollments, changes, terminations, and COBRA.
- Run open enrollment: coordinate with brokers and carriers, prepare materials, and support employees through elections.
- Reconcile benefit invoices and deductions; serve as the first point of contact for employee benefits questions.
HR Coordination & Compliance
- Own onboarding and offboarding (offer letters, I-9/E-Verify, new-hire paperwork, and system setup), and deliver a smooth first-day experience.
- Maintain accurate, confidential employee records and the HRIS; ensure data integrity across systems.
- Support multi-state HR compliance, including state-specific leave, sick-time, pay‑transparency, and posting requirements in Indiana, Minnesota, and Colorado.
- Help administer the employee handbook and company policies, and support leave‑of‑absence and workers' compensation coordination.
- Respond to employment verifications, unemployment claims, and routine employee inquiries with professionalism and discretion.
What You Bring
- Experience: 2+ years of hands‑on payroll and/or benefits administration experience, ideally across multiple states.
- Knowledge: Working knowledge of payroll processing, multi‑state payroll tax, benefits administration, and core HR compliance. Familiarity with multi‑entity or multi‑frequency payroll is a strong plus.
- Tools: Comfortable with payroll/HRIS platforms and spreadsheets; quick to learn new systems.
- Precision: Exceptional accuracy, organization, and follow-through; you catch the errors before they happen.
- Discretion: Sound judgment with confidential and sensitive information.
- Communication: Clear, warm communicator who employees trust and finance can rely on.
Preferred
- Experience supporting Indiana, Minnesota, and/or Colorado payroll and HR compliance.
- Exposure to a recently combined or private‑equity‑backed organization or a multi‑entity structure.
- Relevant certification (e.g., FPC/CPP, PHR/SHRM‑CP) or progress toward one.
Compensation & Benefits
Starting Compensation range: $50,000 - $65,000 per year, commensurate with qualifications & experience. We offer a full benefits package, including medical, dental, vision, 401(k), and paid time off.
