Job summary

Vicente’s Supermarket in New Bedford, MA and Pawtucket, RI is seeking an HR Coordinator to support HR operations, data entry in HRIS, recruitment, onboarding, and employee/manager assistance. You will collaborate with store managers on hiring needs, manage the online application system, and ensure accurate HR records.

You’ll coordinate end-to-end recruitment, lead onboarding for new hires, and generate HR metrics while maintaining compliant documentation.

Qualifications

• 1–3 years of HR, administrative, or recruiting support experience.
• Experience scheduling interviews and coordinating recruitment processes.
• Experience with onboarding/new hire integration routines.
• Proficiency in Office tools (Excel, Word, PowerPoint) and familiarity with HRIS/ATS.

Responsibilities

• Work directly with store managers to enter and update department schedules in the HRIS system.
• Partner with store managers and department directors on their store-level hiring needs.
• Own and maintain the company’s online application system — uptime, payment/upgrades, and preventing lost applications.
• Coordinate the end-to-end recruitment and selection process (job postings, resume screening, interview scheduling, candidate communication).
• Lead the onboarding process for new employees.
• Ensure HR documentation is organized, accurate, and compliant.
• Prepare HR reports and metrics (turnover, headcount, time-to-hire, etc.)
• Process weekly payroll: review and correct timesheet errors, manage retroactive payments and termination coordination, and register PTO/EST time.
• Generate and distribute weekly payroll and exception reports to the Store Director and Assistant Store Director.
• Complete weekly labor budget tracking (worked and scheduled hours) for SD approval and upload to SharePoint.
• Filter and screen candidates against store staffing needs; schedule first interviews and coordinate onboarding calls and enrollment packets.
• Update HRIS for new hire onboarding and departing employees.
• Facilitate onboarding process (welcome video, classroom time, paperwork, and store tour).
• Support the Vicente’s Training Program — Jumpstart meetings, insurance enrollment, and IGA training platform tracking.
• Support daily huddles with team leads if needed to communicate key priorities.
• Maintain Paycor records: terminate departed employees, update cost centers, and add new hires.
• Support SD/ASD with termination conversations, exit interviews, and related documentation.
• Review and process ACH transactions in Paycor, correcting as needed.
• Coordinate workers’ compensation incident reporting, including documentation and insurance case management.
• Maintain and update Mapping documentation twice monthly in partnership with department leads and managers.
