HR Onboarding Specialist

Window Nation is seeking a proactive, detail-oriented HR Onboarding Specialist to own and improve the new-hire onboarding experience. This role combines hands-on administration, communication, problem-solving, and process improvement in a fast-paced, high-volume environment.

The ideal candidate is committed to helping new hires succeed while identifying gaps, resolving issues, and improving workflows. As our processes and technology evolve, this role will help create more efficient onboarding and strengthen relationships with new hires, hiring managers, and internal partners.

Core Responsibilities
  • Manage onboarding from initiation through the employee’s start date, ensuring all pre-employment and onboarding requirements are completed accurately and on time.
  • Monitor onboarding progress, identify potential delays, and take action to keep new hires on schedule.
  • Serve as the primary contact for new hires, providing clear communication, timely follow-up, and support.
  • Partner with hiring managers, recruiters, HR partners, and other stakeholders to share progress, communicate risks, and resolve outstanding requirements.
  • Administer and monitor background screenings and other pre-employment requirements, troubleshooting issues as needed.
  • Maintain accurate employee and onboarding data across HR systems in a highly manual, evolving environment.
  • Identify recurring issues, inefficiencies, and unnecessary manual work; investigate root causes and recommend practical solutions.
  • Regularly review workflows, communications, resources, and processes for accuracy, efficiency, and effectiveness.
  • Support onboarding technology and automation through operational expertise, testing, process design, and translation of system capabilities into effective workflows.
  • Lead assigned process improvements from identification through implementation, partnering with technical and cross-functional teams as needed.
  • Help facilitate the two-day New Manager Onboarding program.
  • Perform other HR-related duties based on business and team needs.
Basic Qualifications
  • Bachelor’s degree in Human Resources, Business, or a related field - "will consider an equivalent combination of relevant education and experience"
  • At least two years of experience in HR operations, onboarding, recruiting operations or coordination, People Operations, HR shared services, or a similar role involving high-volume employee transactions and cross-functional coordination.
Preferred Qualifications
  • BS or BA in Psychology, HR Management, or Organizational Development.
  • Experience with HRIS and ATS platforms and interconnected HR processes; UKG experience is strongly preferred.
  • Excellent organization, time management, and attention to detail, with the ability to manage high-volume data and transactions accurately across multiple systems.
  • Proactive, resourceful, and self-sufficient, with the initiative to determine next steps and complete work with limited direction.
  • Strong curiosity and problem-solving skills, including the ability to identify inefficiencies, investigate root causes, and recommend practical improvements.
  • Strong interpersonal and communication skills, with the ability to engage employees, managers, and cross-functional partners to drive action and resolve issues.
  • Ability to balance transactional responsibilities, projects, and process improvements while meeting deadlines in a fast-paced environment.
  • Strong computer and Microsoft Office skills, including experience managing data in Excel.
  • Working knowledge of HR practices and employment-related compliance requirements.
  • Ability to handle sensitive and confidential information appropriately.
