  • Associate degree in HR, Business Administration, Public Administration or related field required.
  • Minimum of two years of experience administering employee leave programs.
  • Knowledge of federal and state employment laws related to leave administration and accommodations (FMLA, ADA, PWFA, USERRA).
  • Experience administering FMLA and ADA programs; HR experience in early childhood/educational settings.

Responsibilities

  • Review FMLA requests and determine eligibility per laws, policies and procedures.
  • Guide employees and supervisors on leave rights, responsibilities, timelines, and documentation.
  • Issue notices, designation forms and leave correspondence.
  • Track leave usage, intermittent leaves, return-to-work dates, and exhaustion of balances.
  • Maintain confidential medical and leave records per HIPAA and confidentiality rules.
  • Coordinate with Payroll, Benefits, supervisors and leadership on leave and pay status.
  • Administer the interactive process for workplace accommodations under the ADA.
  • Review medical documentation supporting accommodation requests.
  • Coordinate with employees, supervisors and HR on reasonable accommodations and return-to-work plans.
  • Monitor effectiveness and ongoing compliance of accommodations.
  • Respond to leave and accommodation questions from employees and supervisors in a timely manner.

Job description

Gretchen's House Child Care Centers are seeking a part-Time HR Leave and Accommodations Specialist, responsible for coordinating employee leave programs and workplace accommodations in compliance with federal, state, and local laws and County policies. This position serves as the primary point of contact for employees and supervisors regarding leave administration, including the Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), Workman’s Comp and related leave programs.

Work involves reviewing leave requests, maintaining accurate records, ensuring compliance with legal requirements, communicating with employees and supervisors, and supporting an employee-centered leave process while protecting organizational compliance and consistency.

The HR Leave and Accommodation Specialist will work closely with the HR team and provides support as needed with HR related tasks.

Please note: This is a hybrid, 20 hour/week position requiring two in-office and three remote days/week. The schedule is 4 hours/day (flex/during business hours), Monday through Friday.

Responsibilities:
Leave Administration
  • Review FMLA requests and determine eligibility in accordance with applicable laws, policies, and procedures.
  • Provide employees and supervisors with guidance regarding leave rights, responsibilities, timelines, and required documentation.
  • Issue required notices, designation forms, and correspondence related to leave administration.
  • Track leave usage, intermittent leave, return-to-work dates, and exhaustion of leave balances.
  • Maintain accurate and confidential employee medical and leave records in compliance with HIPAA and applicable confidentiality requirements.
  • Coordinate with Payroll, Benefits, supervisors, and department leadership regarding leave and pay status.
ADA & Accommodation Coordination
  • Administer the interactive process for workplace accommodation requests under the ADA.
  • Obtain and review medical documentation to support accommodation requests.
  • Coordinate with employees, supervisors, and HR leadership regarding reasonable accommodations and return-to-work plans.
  • Monitor accommodations for effectiveness and ongoing compliance.
Compliance & Employee Support
  • Ensure compliance with federal and state employment laws related to leave administration and accommodations.
  • Respond to employee and supervisor questions regarding leave processes and workplace accommodations in a timely and professional manner.

Requirements
Minimum Qualifications:
  • -Associate degree in human resources, Business Administration, Public Administration, or related field; and
  • -Minimum of two (2) years of experience administering employee leave programs
  • -Sufficient experience to successfully perform the essential duties of the position.
  • -Knowledge of federal and state employment laws related to leave administration and workplace accommodations, including FMLA, ADA, PWFA, USERRA, and related regulations.
  • -Experience administering FMLA and ADA programs.
  • -HR experience directly supporting early childhood/educational settings
Preferred Qualifications:
  • -Bachelor's degree in human resources
