Job summary

Mi Casita Preschool is seeking a hands-on People Operations Lead to own day-to-day HR data, reporting, and recruiting across the network of schools. The role blends on-site collaboration with remote work for data tasks, and involves regular travel to Philadelphia-area schools and occasional trips to Fort Worth, TX.

You’ll partner with the COO and school leaders to standardize processes, build cost analyses for staffing decisions, and ensure compliance and successful onboarding across locations.

Qualifications

  • 1 to 3 years of HR, recruiting, operations, or administration experience.
  • Bilingual fluency in Spanish and English.
  • Based in or near the Philadelphia metro area with reliable transportation.
  • Strong spreadsheets and data skills; able to build trackers and reports.

Responsibilities

  • Maintain centralized, accurate employee data across all schools.
  • Own recurring reporting on key people metrics (turnover, time-to-fill, training completion).
  • Lead digitization of HR processes to create a single line of sight into HR data.

  • Support compliance recordkeeping; ensure audit-ready documentation.
  • Assist with day-to-day administration of the PEO and HR vendor relationships.
  • Lead front-end of hiring across all schools; screen candidates before handing off to hiring managers.
  • Match candidates to roles/locations; build cross-school visibility of candidates.
  • Standardize recruiting workflows and screening criteria across schools.
  • Serve as main point of contact for school leaders on open roles and hiring needs.
  • Manage compliance/reporting for hiring-related grant programs.

Job description

Mi Casita Preschool offers a hybrid role with regular school visits across the Philadelphia metro area, plus occasional travel to Fort Worth, Texas. In this position, you will own day-to-day people operations, keep centralized HR data and reporting strong, and lead the front end of recruiting across all schools. The work is mission-driven, built on collaboration with school leaders, and grounded in continuous improvement.

What you’ll do
  • Maintain clean, centralized, and accurate employee data across all schools.
  • Own recurring reporting on key people metrics, including turnover, time-to-fill, training completion, and more.
  • Lead the digitization of paper-based HR processes and records to create a single reliable line of sight into HR data across the school network.
  • Create straightforward financial models and cost analyses to support HR decisions such as staffing changes, role movements, and compensation adjustments.
  • Support compliance recordkeeping and help ensure documentation is audit-ready across all locations.
  • Assist with day-to-day administration of the PEO and other HR vendor relationships, escalating larger issues or negotiations to the COO or other senior leaders.
  • Contribute input to broader HR strategy conversations with the COO and senior leaders.
  • Run the front end of hiring across all schools by reviewing resumes and applications and conducting or coordinating initial phone screens before qualified candidates are handed off to hiring managers.
  • Act as the connector across schools by matching candidates to the role and location where they will be the strongest fit, based on network-wide openings and needs.
  • Build and maintain centralized, cross-school candidate visibility so strong candidates are recognized, matched well, and patterns across candidates and locations are understood.
  • Support and standardize recruiting workflows, interview guides, and screening criteria across schools.
  • Serve as the primary point of contact for school leaders regarding open roles and hiring needs.
  • Manage compliance and reporting for hiring-related grant programs to help meet program requirements and capture available funding.
  • Take on operational support responsibilities outside of core HR work from time to time, as capacity and organizational needs allow.
  • Be the responsive, everyday point of contact for routine HR and people questions, escalating complex employee relations matters to the COO.
  • Support network-wide consistency in onboarding and offboarding for new and departing staff.
  • Assist with employee engagement survey administration and help track follow-through on what is heard.
  • Partner with the Regional Director of Academics and the COO to support teacher performance management, including calibration across evaluators and tying outcomes to compensation.
  • Support the build-out of performance management practices for other roles across the network, including School Directors and other school-based staff.
What you’ll bring
  • 1 to 3 years of relevant experience in HR, recruiting, operations, or administration, or equivalent experience demonstrating strong judgment, drive, and organizational capability.
  • Bilingual fluency in Spanish and English.
  • Based in or near the Philadelphia metro area with reliable transportation for regular school visits.
  • Strong spreadsheets and data skills, including comfort building and maintaining trackers, reports, and organized systems.
  • Excellent organizational and project management ability to juggle multiple schools, candidates, and workstreams without dropping details.
  • A relationship-builder who earns trust quickly and can partner effectively with school leaders on challenging HR issues.
  • High energy, initiative, and strong follow-through, with comfort figuring things out and improving processes as you go.
  • Comfort with ambiguity as the people-ops structure matures.
  • Comfort using AI tools to support research, organization, and communication.
  • Authorized to work in the United States. Employment is contingent on successful completion of a background check and all clearances required for regular presence in Pennsylvania early childhood settings, including a PA Child Abuse History Clearance, PA State Police Criminal Record Check (Act 34), and FBI fingerprint-based criminal history clearance (Act 114), plus equivalent clearances required for the Fort Worth, Texas location.

Hybrid work and travel

  • Occasional travel to Mi Casita’s Fort Worth, Texas location.
  • Reliable personal transportation is essential.
Compensation and employment
  • Full-time, Exempt, At-Will
  • Salary range: $55,000 to $65,000 per year, commensurate with experience
  • Pay: $55,000.00 - $65,000.00 per year
  • Reports to: Chief Operating Officer (COO)
  • Work location: Hybrid remote in Ardmore, PA 19003
