Acara Solutions in Buffalo, NY is seeking a contract HR specialist for a 10-12 week assignment focused on HR operations, employment law compliance, and personnel file management.

You will work with client HR and Legal teams to create, organize, and maintain personnel files, support onboarding, policy work, and employment-law research, and help build enduring HR processes.

What You'll Do
  • The temp will work closely with client HR and Legal teams on a primary project involving the creation, organization, storage, and maintenance of employee personnel files.
  • The role will also include exposure to broader HR compliance, employee documentation, policy work, onboarding processes, and employment law research.
  • The main project will be helping the client coordinate the creation, storage, and maintenance of personnel files across the organization.
  • Designing a practical personnel file structure for physical and digital records.
  • Helping evaluate appropriate storage systems and workflows for employee documentation.
  • Developing a Standard Operating Procedure for personnel file storage, access, confidentiality, retention, and maintenance.
  • Coordinating with HR stakeholders to identify needed file contents and documentation gaps.
  • Supporting compliance with internal personnel file management procedures.
  • Helping build a sustainable process that the client can continue to use after the internship ends.
  • Assisting with completing an employee handbook update, including updates to state-specific supplements.
  • Assisting with employment law compliance audits or internal reviews.
  • Supporting onboarding documentation processes, including Form I-9 documentation workflows.
  • Researching wage and hour compliance questions and multi-state employment law issues.
  • Drafting, reviewing, or updating HR policies, procedures, templates, and employee-facing guidance.
  • Assisting with employee relations matters or workplace investigation support, as appropriate.
  • Supporting benefits administration, leave of absence tracking, and related HR documentation.
  • Helping organize HR compliance materials, trackers, and reporting tools.
  • Participating in meetings with HR, Legal, and business stakeholders to learn how employment issues are handled in a corporate environment.
What You'll Bring
  • High School Diploma or GED.
  • 2+ years of experience in supporting documentation, records management, policy development, compliance reviews, or administrative processes.

  • Coursework or prior experience related to HR management, employment law, organizational behavior, compliance, legal research, records management, or workplace policy.
  • Good attention to detail and accuracy.
  • Excellent organizational and project management skills.
  • Sound judgment and ability to handle confidential information responsibly.
  • Good written and verbal communication skills.
  • Interest in employment law, HR compliance, employee relations, workplace investigations, labor and employment policy, or corporate legal operations.
  • Ability to work independently while also collaborating with HR, Legal, and business partners.
  • Comfort working with documents, spreadsheets, trackers, and internal systems.
  • Practical problem-solving mindset and willingness to help build processes from the ground up.
