Job summary

EAC Network in Garden City, NY is seeking a full-time HR Coordinator to support HRIS, payroll, benefits, and employee communications in a fast-paced nonprofit setting. The role requires strong data management, attention to detail, and the ability to coordinate with Finance and IT. Hybrid schedule, typically 4 in-office days, with one day remote.

Salary $29.67/hour, benefits include PTO and 401(k). The candidate will maintain records, assist with onboarding and separations, and generate reports

Qualifications

  • Minimum of two years of progressive HR experience in HRIS, payroll, and data management.
  • Experience with Paycom or cloud-based HRIS preferred.
  • Advanced Excel skills and proficiency with Microsoft 365.
  • Excellent communication, organizational, and confidentiality.
  • Ability to manage multiple deadlines in a fast-paced office.

EAC Network, a leading not-for-profit social service agency dedicated to helping over 80,000 people through 100 impactful programs across Long Island and NYC, is looking for a dedicated full time HR Coordinator with in the Human Resources Department.Wage: $29.67 per hourSchedule: Monday-Friday 9AM-5PM- Hybrid schedule of 1 day remote.Location: 99 Quentin Roosevelt Blvd Suite 200 in Garden City, NYWhat drives the core purpose of this job:The Human Resources Coordinator is responsible for providing comprehensive operational and administrative support to the Human Resources Department in a fast-paced office environment. The position is responsible for maintaining the accuracy, quality, and consistency of HRIS and employee data; supporting employee lifecycle transactions; assisting with payroll and timekeeping administration; coordinating benefits and employee communications; and serving as a liaison with internal departments, including Finance/Payroll and the IT helpdesk.This position requires a highly organized, detail-oriented, and self-directed person who can effectively manage multiple competing priorities, meet established deadlines, proactively follow up on outstanding matters, and independently carry routine responsibilities through to completion. The Human Resources Coordinator must demonstrate initiative, sound judgment, strong problem-solving skills, and the ability to apply previously provided training, established procedures, and available resources when performing assigned responsibilities.Key Objectives:Maintains the accuracy, quality, consistency, and integrity of HRIS, employee, payroll, and benefits-related records.Provides timely and professional support to employees, supervisors, Human Resources, Finance, and other internal stakeholders by responding to inquiries, following up on outstanding matters, and working toward timely resolution.Effectively manages multiple competing priorities and deadlines, with particular attention to time-sensitive payroll, employee lifecycle, benefits, and compliance-related responsibilities.Takes ownership of assigned responsibilities and proactively monitors tasks, deadlines, discrepancies, and pending items through completion or appropriate escalation.Applies established procedures, prior training, process guides, and available resources to independently perform routine job responsibilities and resolve issues within the scope of the position.What are the key responsibilities:HRIS, Data & SystemsReviews Personnel Action Forms (PAFs), employee transactions, and supporting documentation for accuracy and completeness prior to processing. Verifies applicable employment status, effective dates, compensation, accrual profiles, benefits-related information, termination details, and other required employee data.Monitors and proactively follows up on time-sensitive employee lifecycle events, including new hires, terminations, status changes, temporary employee end dates, benefits changes, and other personnel actions.Runs scheduled reports and creates reports as needed.Keeps abreast of new HRIS system improvements, communicates changes to HR and supervisors, and integrates them into current processes and procedures. Identifies opportunities to improve Human Resources processes, systems, and operations, and assists with implementation.Track agenda items for regular call with Paycom and takes lead on implementation of business process changes and coordinates the resolution of system issues.Troubleshoots, analyzes, detects, identifies, and corrects technical problems and deficiencies.Payroll & Finance CoordinationSupports payroll operations by monitoring outstanding timecards and approvals, communicating with employees and supervisors regarding missing or inaccurate information, and ensuring required follow-up is completed in accordance with established payroll deadlines.Processes, reviews, and maintains labor allocations and employee program coding accurately and within established deadlines, working closely with the Payroll Manager and Finance Department on payroll-related information and other data requiring coordination between Human Resources and Finance. Identifies discrepancies and takes appropriate action to resolve issues or escalate them when necessary.Delivers finance bank deposits approximately 4 times per year according to the posted schedule.Manages HR/Internal Operations credit card reconciliation, prepares monthly backup and statements, and ensures timely and accurate submission of documentation in accordance with finance protocols.Benefits, Leave & SeparationsEnsures timely completion of employee separation-related responsibilities, including required HRIS transactions, employee communications, benefit-related notifications, COBRA reporting, PTO or other applicable payouts, and supporting documentation.Provides support to the Senior HR Operations Manager, including creating and updating all benefit statements, termination policies related to benefits, reporting new hires and terminations to the COBRA carrier, assisting with drafting Leave of Absence paperwork, updating trackers related to benefits. Assists with processing invoices related to benefits, payment requests, or other administrative tasks.Compiles and submits information related to unemployment claims to third parties.Employee Services & Department AdministrationCompletes employment verificationsRequests modifications to IT/network access for new hires/terminations. Works with the IT vendor on email account administration for new hires and terminations.Provides support to the recruitment team, including sharing benefit statements with new hires, position management in Paycom system, creating promotion letters, and collecting job descriptions.Tracks and maintains employee certification and compliance requirements, including monitoring expiration dates, sending reminders, and ensuring records are up to date.Supports agency compliance with funder, regulatory, and contract requirements applicable to a non-profit human services organization, including maintaining background check, clearance, and mandated-reporter documentation, and assembling personnel records requested for program, funder, and audit reviews.Assists with wellness programming and responds to wellness-related questions.Creates HR communications and content, including wellness content, and distributes via Teams, email, and the semi-monthly newsletter.Performs other duties as assigned by supervisor.Requests modifications to IT/network access for new hires/terminations. Proficient in computer applications or other automated systems such as spreadsheets, Microsoft 365 applications.Excellent verbal and written communication and organizational skills.
