Job summary

Chief Seattle Club HR is seeking an HR Coordinator to provide administrative and coordination support across the employee lifecycle in Seattle, ensuring timely, accurate, and confidential HR processes.

The role covers onboarding, personnel file maintenance, benefits and employment verification, interview scheduling, and HR communications, contributing to compliant and high‑quality HR services aligned with the org's mission.

Qualifications

  • Education: High school diploma or equivalent required; associate or bachelor’s in business administration, human resources, or related field preferred.
  • Experience: 1–3 years in administrative, HR, or office coordination roles.
  • Certifications: HR certification preferred or ability to obtain within one year of hire.
  • Skills: Proficiency with MS 365, HRIS systems, onboarding workflows, and confidentiality in handling employee data.

Responsibilities

  • Coordinate new hire onboarding tasks, including ADP onboarding steps and welcome communications.
  • Process new hire and employee status paperwork with accurate routing and filing.
  • Assist I-9/E-Verify processes and maintain documentation.
  • Maintain confidential personnel and payroll records and support HR data updates.
  • Coordinate IT access, ORCA cards, badges, and orientation materials.
  • Field routine employee inquiries and escalate complex HR issues to leadership.
  • Support recruitment logistics: screen resumes, schedule interviews, and track applicant records.
  • Manage ADP learning tasks: assign trainings and track completions.

Job Summary:

The HR Coordinator provides skilled administrative and coordination support to the Human Resources team across the employee lifecycle. This position supports onboarding, personnel file maintenance, employee record updates, benefits and employment verification processes, interview scheduling, ADP learning assignments, and timely employee communications. The role helps ensure HR processes are organized, accurate, confidential, and responsive so employees and managers receive high-quality support aligned with Chief Seattle Club's mission, values, and compliance responsibilities.



Essential Job Functions:


  • Coordinate new hire onboarding tasks, including initiating assigned ADP onboarding steps, sending onboarding date confirmations and directions, preparing welcome materials, and supporting completion of required new hire documentation.

  • Process new hire and employee status paperwork, including Personnel Action Notices, new hire bonus payment requests, payroll notifications, and other HR forms requiring accurate routing, approval, submission, or follow-up.

  • Support employment eligibility and compliance processes by completing Section 2 of Form I-9, submitting E-Verify cases, maintaining related documentation, and escalating questions or discrepancies as appropriate.

  • Maintain accurate personnel, financial, medical, and digital employee files by filing documents daily, bundling completed files, organizing hard copy records, and protecting confidential information.

  • Coordinate employee access and onboarding logistics, including submitting IT new user requests, registering ORCA card users, preparing staff ID badges, and ensuring required materials are ready for orientation.

  • Respond to routine employee inquiries regarding HR processes, policies, documentation, onboarding logistics, and benefits-related steps, providing timely information and escalating complex matters to HR leadership.

  • Support recruitment administration by screening resumes or application materials as assigned, scheduling interviews, coordinating candidate communications, checking references, and helping maintain applicant records.

  • Administer assigned ADP learning management tasks, including assigning trainings, sending reminders, tracking completions, and preparing routine reports for HR leadership.

  • Compile data, update employee records, prepare routine reports, and support HR team projects, safety-related administrative tasks, and department communications as assigned.



Non-Essential Job Functions:


  • Serve as administrative backup to other HR team members, including support with interview scheduling, employee activities, file organization, invoice approvals, reports, and other duties as situation requires or as assigned by supervisor.

  • Support resident safety by responding appropriately to emergencies, reporting hazards or incidents promptly, and modeling safe practices in alignment with agency policies and trauma-informed care principles. Completion of all safety-related trainings. May be asked to participate in safety meetings and support OSHA reporting requirements.

  • Other duties as assigned.



Knowledge, Skills and Abilities Required:

Education:High school diploma or equivalent required. Associate degree or bachelor's degree in business administration, human resources, or a related field preferred.


Experience:Typically, 1-3 years of administrative, human resources, office coordination, or related experience required. Experience supporting onboarding, document management, employee records, or recruitment coordination is preferred.


Licenses/Certifications:Human resources certification preferred, or ability to obtain an HR-related certification within one year of hire.


Technical Skills & Competencies:Proficiency with Microsoft 365, Outlook, Teams, Word, Excel, printers, badge ID systems, and standard office equipment; experience with ADP or another HRIS strongly preferred; ability to learn new systems; ability to maintain accurate employee records and confidential documentation; working knowledge or ability to learn HR processes, benefits administration steps, employment eligibility documentation, E-Verify, onboarding workflows, and applicable employment and workplace safety requirements.


Soft Skills:Strong written and verbal communication skills; excellent organization, attention to detail, follow-through, and time management; ability to manage competing priorities and high-volume onboarding or filing needs; discretion and sound judgment when handling sensitive employee information; professional collaboration with employees, candidates, vendors, and HR team members; patience, adaptability, and a service-oriented approach.



Preferred Qualifications:

Experience working in a mission-driven nonprofit, Native organization, social services environment, or organization serving vulnerable communities is preferred. Prior experience with ADP, onboarding coordination, personnel file management, employee communications, recruitment support, benefits enrollment support, or training tracking is highly valued.



Physical Requirements:

While performing the duties of this job, the employee is regularly required to sit at a desk and work on a computer for extended periods; use hands and fingers for typing, filing, and handling documents; communicate frequently in person, by phone, video, and email; see and read documents and digital records; move throughout office and program spaces; and maintain accurate files and records. The employee may occasionally lift or move materials weighing up to 25-40 pounds, such as onboarding supplies, file boxes, office materials, or event items.


Work is primarily performed in an office environment in downtown Seattle's Pioneer Square neighborhood. Noise is generally minimal, though interruptions and competing priorities are common. The position requires daily interaction with HR team members, employees, candidates, and managers and requires professionalism, confidentiality, and timely follow-through when responding to employee questions or coordinating HR processes.
