Qualifications

• Bachelor's degree in Human Resources, Business Administration, or related field.
• 1–3 years in administrative, coordinator, or recruiting-support role.
• Proficiency with Workday and MS Office, especially Excel and Outlook.
• Strong organizational and communication skills; ability to handle confidential information.

Responsibilities

• Coordinate day-to-day recruiting activities: postings, scheduling phone screens and interviews, calendar logistics.
• Maintain and update recruitment trackers and ensure postings align with approved templates.
• Prepare interview packets, scorecards, and candidate communications; track progression through stages.
• Support pre-employment processes: background checks, drug screens, reference checks, verifications.
• Provide general TA admin support: data entry, reporting, and duties as assigned.

NOVO Health Services is seeking an organized and dependable HR Coordinator to support our Talent Acquisition team, ensuring the recruiting process runs smoothly and efficiently across a multi-site organization. Reporting directly to the Recruiting Manager, this role provides administrative and logistical support to the Talent Acquisition team, managing scheduling, candidate communication, applicant tracking system data, and pre-employment processing. This work frees recruiters and HR leadership to focus on candidate strategy and hiring decisions. The ideal candidate is a detail-oriented, people-first professional who thrives on keeping a fast-moving recruiting process organized and on track.

Key Responsibilities

Requisition & Scheduling Coordination

• Coordinate the day-to-day administrative activities of the recruiting process, including posting requisitions, scheduling phone screens and interviews, and managing calendar logistics for hiring managers and candidates
• Support job posting administration across external job boards and LinkedIn, ensuring postings remain current, accurate, and consistent with approved templates
• Maintain and update the weekly recruitment tracker, reconciling open requisitions against Workday exports and flagging discrepancies to the Recruiting Manager

Candidate Experience & Data Integrity

• Maintain accurate and current candidate records in Workday, including applicant status updates, disposition codes, and requisition data, ensuring the ATS reflects real-time pipeline activity
• Support recruiters and hiring managers by preparing interview packets, scorecards, and candidate communication templates, and by tracking candidate progression through each stage of the hiring process
• Respond to routine candidate inquiries and internal requests for recruiting status updates, escalating complex issues to the appropriate HR team member

Pre-Employment & Onboarding

• Support Assist with pre-employment processes, including background checks, drug screens, reference checks, and employment verifications, and follow up to ensure timely completion
• Prepare and distribute offer letters and new hire paperwork, and coordinate with HR Operations to ensure a smooth handoff from offer acceptance to onboarding
• Maintain organized, compliant recruiting files and documentation in accordance with company record-retention standards and I‑9/E‑Verify requirements

Administrative & Team Support

• Provide general administrative support to the Talent Acquisition team, including data entry, report generation, and other duties as assigned

Qualifications Required

• Bachelor's degree in Human Resources, Business Administration, or a related field required
• 1–3 years of experience in an administrative, coordinator, or recruiting-support role
• Working knowledge of applicant tracking systems (Workday preferred) and strong proficiency in Microsoft Office, particularly Excel and Outlook
• Excellent organizational skills and attention to detail, with the ability to manage multiple requisitions and competing deadlines simultaneously
• Strong written and verbal communication skills, with a professional, service-oriented approach to interacting with candidates and hiring managers
• Ability to maintain confidentiality and exercise sound judgment when handling sensitive candidate and employee information

Preferred Experience

• Experience in a multi-site or industrial/manufacturing environment
• Direct experience working within Workday or a similar HRIS/ATS platform
